Legal Administrative Assistant

Purpose of the Job The position works under the supervision of assigned attorneys to handle clerical, data entry, document creation, e‑filing, and mail processing tasks. It maintains deadlines, schedules meetings, depositions, hearings, and performs all administrative functions related to workers’ compensation cases, supporting attorneys who handle litigated matters. Essential Duties and Responsibilities Create new files in the Litigation Management System, perform accurate data entry, upload file materials, and maintain the database. Schedule and coordinate attorneys’ and hearing representatives’ activities, including depositions, court hearings, meetings, and other legal activities. Gather and request information needed to complete reports. Maintain calendars, diaries, set deadlines and milestones, and follow up to ensure task completion. Assist in the management, organization, drafting, and filing of documents. Draft documents for review by attorneys, paralegals, and hearing representatives. Edit and proofread documents for proper grammar, spelling, and content. Ensure legal documents contain all required portions and supporting documents for court acceptance. Prepare and e‑file documents with the Workers’ Compensation Appeals Board (WCAB). File and organize all materials appropriately in the electronic litigation management system. Review incoming mail and route it correctly to appropriate individuals. Perform general litigation administrative duties as needed. Create invoices and submit them to the claims department. Maintain an accurate and complete database in the electronic litigation management system. Develop internal and external client relationships with a customer‑centric focus. Adhere to ICW Group’s policies, procedures, and California Rules of Professional Conduct. Coordinate vendor payments. Supervisory Responsibilities This role does not have supervisory responsibilities. Education and Experience High school diploma required. Minimum 2 years of experience in a law firm or claim environment required, or an equivalent combination of education and experience. Workers’ Compensation experience preferred. Certificates, Licenses, Registrations Successful completion of a legal secretarial program from a recognized community or business college preferred. Knowledge and Skills Proficient knowledge of California workers’ compensation procedure with prior litigation/legal administrative assistant experience handling various types of workers’ compensation cases. Understanding of workers’ compensation administrative rules and procedures. Proficient use of a personal computer and skills with Microsoft Word, Excel, Outlook, Adobe, PowerPoint, EAMS, PACER, and commonly used software platforms. Knowledge and use of general office equipment such as scanners and copiers. Familiarity with business legal principles and billing practices and procedures. Demonstrated ability to work independently under minimal supervision, maintain a strong work ethic, and exercise initiative. Excellent verbal and written communication skills, including English usage, spelling, vocabulary, grammar, and punctuation. Ability to read and understand legal materials. Ability to keep information organized and confidential. Ability to appropriately redirect inquiries or issues from clients and stakeholders. Ability to effectively present information, verbally and in writing. Ability to learn various proprietary computer applications. Strong organizational abilities, time management, and aptitude for learning new skills. Ability to prioritize multiple tasks and complete them on time. Physical Requirements Office environment – no specific or unusual physical or environmental demands. Employees are regularly required to sit, walk, stand, talk, and hear. Work Environment This position operates in an office and court environment and requires frequent use of a computer, telephone, copier, scanner, and other standard office equipment. Salary and Employment The current salary range for this position is $25.91 – $40.86 per hour, exclusive of fringe benefits and potential bonuses. Final base salary will be determined based on factors such as experience, education, and location. Employment sponsorship is not offered for this opportunity.
