SE Roofing Solutions is seeking a highly organized and detail-oriented Commercial Roofing Project Administrator to support our Project Management Team and help drive successful project execution.
This position plays a critical role in maintaining project documentation, supporting billing processes, tracking change orders, coordinating closeout requirements, and ensuring project files remain organized and current throughout the life of the project.
The ideal candidate thrives on organization, follow-through, and keeping multiple moving pieces under control. If you're the person who catches missing information before it becomes a problem and enjoys bringing structure to complex projects, we'd like to hear from you.
Position Summary
The Project Administrator supports commercial roofing projects from award through closeout by managing project documentation, administrative processes, billing support, and project tracking.
This role works closely with Project Managers, Superintendents, Accounting, Vendors, and Leadership to ensure project records remain accurate, organized, and accessible throughout the project lifecycle.
While this position does not manage field production, it plays a vital role in supporting project success and operational efficiency.
Key Responsibilities
Project Documentation Management
- Create and maintain project files from project award through closeout
- Organize and track:
- Contracts
- Purchase Orders
- Subcontracts
- Insurance Documents
- Permits
- Project Schedules
- Submittals
- Project Correspondence
- Closeout Documentation
- Maintain accurate digital project records
- Upload and manage documentation within company operating systems
- Track missing, incomplete, or expired project documents
Billing & Financial Support
- Assist Project Managers with billing preparation
- Track:
- Schedule of Values (SOV)
- Percent Complete Updates
- Change Order Status
- Billing Deadlines
- Coordinate invoice backup and supporting documentation
- Work with Accounting to ensure billing packages are complete and submitted on time
- Assist with receipt collection, expense coding, and financial documentation
Change Order Management
- Maintain project change order logs
- Track pending change order requests and approvals
- Monitor documentation status and follow up on missing information
- Assist Project Managers in maintaining visibility of outstanding project costs and scope changes
Closeout Administration
- Assist in preparing complete closeout packages
- Collect and organize:
- Warranties
- Manufacturer Documentation
- Project Photos
- Punch List Documentation
- Final Billing Information
- Track closeout requirements throughout the project—not just at the end
- Follow up with Project Managers and Superintendents on outstanding closeout items
Project Manager Support
- Support Project Managers with administrative coordination and follow-up
- Prepare project reports, meeting notes, and tracking logs
- Assist with owner and client documentation requests
- Maintain visibility of project deadlines and open action items
- Help ensure Project Managers can focus on project execution rather than administrative paperwork
Qualifications
Required
- 2+ years of administrative experience
- Strong organizational and time-management skills
- Exceptional attention to detail
- Ability to manage multiple active projects simultaneously
- Strong written and verbal communication skills
- Proficiency in:
- Microsoft Excel
- Microsoft Word
- Outlook
- Construction Management Software
- Ability to prioritize and meet deadlines in a fast-paced environment
Preferred
- Construction administration experience
- Commercial roofing experience
- Experience supporting Project Managers
- Knowledge of billing processes, change orders, and project closeouts
- Bilingual (English/Spanish)
