St. Pius X Catholic School in Corpus Christi, Texas, is hiring a full-time Administrative Assistant for the school office. This role will provide administrative and clerical support to the principal, front office, bookkeeper, and students records and data.Ministerial Character:The Diocesan Bishop is the visible principle and foundation of unity in the particular Church (“the Diocese”) entrusted to him. In a unique and visible way, he makes Christ's mission present and enduring as the Shepherd of the Christian Community. In order to fulfill his mission, the Diocesan Bishop employs suitable, chosen collaborators, who are clerics, religious, and lay people. He shares with them the apostolic mission and entrusts various responsibilities to them.Each position employed in the Diocese of Corpus Christi helps to extend the ministry of the Diocesan Bishop in particular ways, as outlined in the job duties and responsibilities. Therefore, this position is closely connected to and assists the Diocesan Bishop in the performance of his ministry and thereby engages in ministry for the church.Responsibilities:The list below reflects the general details considered necessary to describe the primary functions of the job identified and shall not be construed as a detailed description of all the work requirements that may be inherent in the job.As an integral part of the ministry for the Church, this position will support and uphold the philosophy of Catholic ministry and the mission of the Diocese of Corpus Christi in both professional and personal lifeActs as a witness to Gospel values by modeling the teachings of the Catholic ChurchContinuously grows in the ministry by participating in religious ceremonies, training sessions, and reflection activities as directPerforms other office duties as directed by the Principal, including but not restricted to business office functionsAssist with campus budget preparation and maintain accurate records of expendituresAssist with planning and preparation of faculty meetings and campus activitiesPerform routine clerical tasks, including answering phones, greeting visitors, filing, organizing, managing incoming and outgoing mail, managing office communication and records, managing supply and fixed asset inventory, etc.Perform routine bookkeeping tasks, including maintaining budget records, AP/AR, processing purchase orders, preparing cash deposits, and maintaining ledgerAssist with campus budget preparation and maintain accurate records of expendituresAssist with the school calendar of events; scheduling faculty meetings, campus activities, and appointments for the PrincipalMaintain confidentiality in all communication and recordsProvide assistance, support and direction for students, staff, and families as needed; maintain positive, frequent parent communication, returning calls promptlyCollect, verify, maintain, and report accurate attendance data, including daily, class, semester, and end-of-term reportsMaintain daily teacher attendance logs and records for substitute teachersMaintain personnel time records, including leave requests and reports, and compile information for the central officeCreate and maintain student files, ensuring their completeness in school databases; and manage input of student tuition, financial aid, and incidental billingAssist with registration and enrollment of new students, including requesting and sending records, and creating and maintaining complete and accurate student files; process withdrawalsDistribute report cards and progress reportsMaintain vaccination records, IMMTRAC database, and complete state compliance reports for vision, hearing, and spinal screenings and Acanthosis NigricansMaintain Openpath security database and Raptor security databasePerform other duties as assignedMinimum Qualifications:High School Diploma or equivalentValid Texas driver's licenseMust be 21 years of age or olderSkills and Abilities:Knowledge of effective use of technologyStrong public relation skills, organizational skills, and strong oral and written communication skillsStrong oral and written communication skillsMust have organizational skills and a thorough knowledge of general office functionsMust demonstrate ability to effectively and tactfully deal with all school publicsMust demonstrate ability to maintain confidentialityMental/Physical Demands:Ability to carry, pull, push, lift, or move objects 10 pounds or moreAbility to maintain composure under duress; maintain emotional control under stressMust maintain confidentialityAdditional Requirements:Submit to employment required screenings, criminal background, drug screening, and motor vehicle record checkObtain certification in Safe Environment training provided by the Office of Safe Environment and Child and Family ResourcesPosition requires adherence to diocesan policies and proceduresTo be considered for employment with the Diocese of Corpus Christi locations, all interested individuals must complete the online application at #J-18808-Ljbffr
