Accountabilities:

• Manage and support construction-related administrative and estimating tasks, ensuring accuracy, organization, and timely completion of deliverables.
• Coordinate and track multiple projects simultaneously, ensuring deadlines are met and priorities are clearly managed across stakeholders.
• Provide general virtual assistant support, including scheduling, email management, data entry, research, and document preparation.
• Assist with estimating-related workflows, helping organize project inputs, documentation, and required information for pricing and bids.
• Communicate professionally with clients and internal teams, adapting communication style to evolving priorities and expectations.
• Support lead tracking and basic conversion management to help maintain smooth operational and sales processes.
• Identify process gaps and contribute suggestions to improve efficiency and workflow organization.

Requirements

• Experience in administrative, operations, project coordination, or virtual assistant roles, ideally within construction or related industries.
• Familiarity with construction administration or estimating support is strongly preferred.
• Excellent written and verbal communication skills, with the ability to adapt tone and messaging to different stakeholders.
• Strong organizational skills with the ability to manage multiple priorities and deadlines in a remote environment.
• Self-starter mindset with the ability to take initiative, structure tasks, and propose solutions independently.
• Strong critical thinking and problem-solving abilities, especially in ambiguous or fast-moving situations.
• Proficiency in managing digital tools for scheduling, communication, documentation, and workflow tracking.
