About the Role Pocket FM is seeking a highly organized and proactive Events Coordinator to support the planning and execution of our growing portfolio of events. This role will work closely with the Events and Marketing teams to coordinate logistics, manage vendors, support event operations, and ensure seamless execution across a variety of activations. The ideal candidate is detail-oriented, resourceful, and comfortable juggling multiple priorities in a fast-paced environment. You'll play a critical role in helping bring Pocket FM's events to life, ranging from industry conferences and publishing events to AI-focused gatherings, creator activations, and brand experiences. Key Responsibilities Support the planning and execution of Pocket FM events from pre-production through post-event wrap-up. Coordinate logistics for conferences, industry events, creator gatherings, social events, and marketing activations. Assist with vendor sourcing, contract management, invoicing, purchase orders, and payment tracking. Manage event timelines, checklists, run-of-show documents, and follow-up communications. Coordinate booth logistics, sponsorship deliverables, and third-party event organizers. Serve as a liaison between internal teams, external vendors, venues, and event partners. Track event inventory, shipments, promotional materials, and on-site requirements. Help ensure deadlines are met by proactively following up with stakeholders across global teams. Support travel coordination, accommodations, catering, staffing, and other operational needs. Assist with post-event reporting, documentation, and process improvements. Provide on-site event support as needed, including setup, registration, vendor management, and troubleshooting. About You 1–2+ years of experience supporting events, experiential marketing, conferences, or live activations. Previous experience working as an Events Assistant, Events Coordinator, Marketing Coordinator, or similar role. Strong organizational skills with exceptional attention to detail and follow-through. Experience coordinating vendors, venues, contracts, and event logistics. Familiarity with invoicing, administrative processes, and project tracking. Comfortable managing multiple priorities and adapting to changing timelines. Proactive communicator who consistently follows up and drives tasks to completion. Resourceful problem solver who can take ownership of projects with minimal supervision. Outgoing, collaborative, and comfortable representing Pocket FM in professional event environments. Experience supporting conference booths, sponsorship activations, or third-party events is a plus. Preferred Experience Experience supporting AI, publishing, technology, media, entertainment, or creator-focused events. Familiarity with event management platforms, project management tools, and marketing operations. Experience working with distributed or international teams.
