Food and Beverage Administrative Assistant, Paseo

The opportunity Delaware North's Patina Group is searching for a part-time Food and Beverage Administrative Assistant to join our Food and Beverage team at Paseo in Anaheim, California. In this role, you'll provide complete administrative and clerical support to the Food and Beverage department and perform other duties as needed. What will you do? Composes, transcribes, and types correspondence, memos, reports, and other miscellaneous paperwork. Answer and direct incoming leads and client communications in a professional and timely manner to the sales manager. Monitor voicemails and leads, relay detailed messages, including client contact information, to the Sales Manager or Director. Assist Sales Manager(s)/Director(s) with BEO revisions and updates as needed. Prepares outgoing mail. Maintain accurate and organized event files, ensuring that all Event Folders are current and complete. Prepare event materials including food signage and Event Books, confirming with the Sales Manager/Director and team that all required items are included. Conduct necessary research to effectively resolve any discrepancies. Compile BEO packets for Weekly Team Meeting. Attend BEO weekly meetings to capture event updates. Assist with routine MICROS programming, database maintenance, and end-of-month resets. Responsible for data entry i.e., sales reports, departmental financial reports, etc. Provide on-site event support when requested including event load-in, staff check-in/out, vendor load-in/out, greeting guests and other duties as required. Plans and devises layout of text, illustrations, and designs for menu presentation. Assist with catering order deliveries, when necessary, based on demand of the business. Assist Sales team with sales outreach projects including contact acquisition, partnership opportunities, marketing, promotional events, etc. Edits and reviews menus for accuracy and completeness. Manage office supply orders as needed. Support both the Sales and Operations teams with additional projects as assigned. Proactively seek opportunities to assist the Sales and Operations teams when primary responsibilities are complete. Professional attire. On site/at event attire, all black, unless another uniform is provided. More about you Associate degree in related field preferred. One year of related experience required. Computer knowledge including full working knowledge of MS Office applications, Internet, email, and superior keyboard skills. Basic math skills including addition, subtraction, multiplication, division, fractions, and percentages Intermediate computer skills including word-processing, spreadsheets, database, and e-mail required. Superior organization and guest service abilities required. Exceptional communication and leadership skills required. Must be able to effectively present information in one-on-one and group situations to guests and other associates of the company. Strong proofreading abilities.
