Supply Chain Coordinator

Paradigm Sciences is a small specialty ingredient distribution company servicing the personal care and cosmetics industry. We have been supplying unique and natural ingredients to North American and Global cosmetic manufacturers since 2003. Our manufacturing customers range from globally known brand manufacturers to smaller independent brands and contract manufacturing companies. The Supply Chain Coordinator is a full-time position based in Annandale, NJ, with a hybrid schedule (primarily on-site with some remote flexibility). This role is responsible for managing the inbound flow of products to Paradigm's third-party warehouse in Edison, NJ and serves as a key link between our global supplier network and internal operations team. The Supply Chain Coordinator will own the procurement and inbound logistics process, including placing purchase orders, coordinating international and domestic shipments, working with freight forwarding partners, monitoring supplier performance, managing inventory replenishment activities, and helping ensure products arrive on time and at the most competitive cost. Paradigm sources raw material ingredients from suppliers located throughout North America, Europe, Asia, and Latin America. The ideal candidate will have experience working with international suppliers, coordinating inbound shipments, and supporting customs clearance and import-related activities. This role also plays an important part in supplier relationship management. The Supply Chain Coordinator will work directly with suppliers regarding pricing, lead times, product availability, freight costs, and supply chain issues. We are seeking someone who will proactively identify opportunities to improve processes, negotiate costs, and contribute ideas that help the business operate more efficiently. Key Responsibilities Place and manage purchase orders with domestic and international suppliers. Coordinate inbound shipments from suppliers to Paradigm's third-party warehouse. Work directly with freight forwarders, carriers, suppliers, and logistics partners to ensure timely deliveries. Monitor inventory levels and support replenishment planning activities. Manage supplier relationships, pricing updates, lead times, and product availability. Track and resolve supply chain disruptions, shipment delays, and logistics issues. Support customs clearance activities and maintain familiarity with HTS codes and import processes. Analyze freight and transportation costs and identify opportunities for cost savings and process improvements. Maintain accurate purchasing, inventory, and logistics data within ERP/MRP systems. Generate reports and perform data analysis using Excel to support supply chain decisions. Collaborate closely with Customer Service to support overall business operations and provide backup support when needed. Actively contribute ideas and recommendations to improve supply chain efficiency, supplier performance, and operational effectiveness. Required Qualifications 2+ years of experience in supply chain, procurement, logistics, purchasing, or related roles. Logistics experience and familiarity with HTS Codes, Customs Procedures, Customs Clearance, and international shipping processes. Experience coordinating inbound shipments through freight forwarding providers and logistics partners. Experience with operations management and inventory management, including order processing, stock control, and shipment coordination. Familiarity with procurement processes, supplier management, and global supply chain operations. Experience reviewing supplier pricing, freight costs, and contributing to vendor negotiations or cost-reduction initiatives. Proficiency with Microsoft Office, particularly Excel, including reporting, data analysis, sorting/filtering large datasets, and pivot tables. Experience and proficiency using ERP/MRP or inventory management systems (such as SAGE X3, SAP, NetSuite, Oracle, or similar platforms). High level of accuracy, attention to detail, and organizational skills in a fast-paced environment. Ability to work 3–4 full-time on-site days in Annandale, NJ, with 1–2 days remote per week. Ability to work successfully in a small-office environment (fewer than 10 employees) where adaptability, initiative, and collaboration are essential. Preferred Qualifications Demonstrated ability to work independently, take ownership of responsibilities, and identify opportunities for continuous improvement. Strong communication and customer service skills to interact effectively with vendors, logistics partners, internal teams, and customers. Solid analytical skills with the ability to interpret data, track key supply chain metrics, and support decision-making. Experience in cosmetics, chemicals, ingredient distribution, manufacturing, or personal care industries is a plus but not required. Associate's or Bachelor's degree in Supply Chain, Business, Operations, or a related field preferred, or equivalent practical experience.
