Post-Closing Clerk
Department: Finance
Reports To: Office Administrator
FLSA Status: Non-Exempt
Jackson Walker, the largest law firm in Texas, has an exciting full-time employment opportunity for a Post-Closing Clerk in our Dallas office. The Post-Closing Clerk provides administrative and operational support for post-closing activities associated with real estate and lending transactions. This position is responsible for preparing and organizing closing documentation, coordinating post-closing requirements, maintaining transaction records, and assisting attorneys and staff with file management activities.
The Post-Closing Clerk works closely with attorneys, clients, title companies, lenders, and other business professionals to ensure post-closing matters are completed accurately, timely, and in accordance with Firm procedures while maintaining strict confidentiality of client and Firm information.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Post-Closing Administration
- Prepare and organize closing binders, electronic closing files, and related documentation following transaction closings.
- Compile final executed agreements, exhibits, and supporting documents while confirming completeness and proper execution.
- Coordinate post-closing activities with lenders, clients, counterparties, title companies, and other external parties to facilitate the timely recording, filing, and delivery of required documents.
- Track the issuance and receipt of final title policies and related post-closing documentation.
- Monitor outstanding post-closing requirements, unresolved closing conditions, and other follow-up items through completion.
- Maintain tickler systems and calendars to ensure post-closing deadlines and required follow-up activities are completed timely.
File & Document Management
- Scan, index, organize, and upload closing documents into the Firm's document management system.
- Maintain electronic and physical client files in accordance with Firm policies and records management procedures.
- Monitor the location of client files and maintain accurate file tracking records.
- Organize and maintain post-closing documentation for efficient retrieval.
- Assist with document retention and file maintenance activities.
Due Diligence & Transaction Support
- Assist with the review of due diligence submissions by confirming document completeness and identifying missing information for attorney review.
- Research public records and related documents to verify transaction information as requested.
- Coordinate closely with attorneys and legal support staff throughout the closing and post-closing process.
- Route new transaction information and supporting documentation to appropriate attorneys and staff.
Administrative Support
- Assist with invoice processing, filing of paid invoices, and other administrative support activities.
- Maintain accurate records related to post-closing activities and document delivery.
- Respond to routine inquiries regarding post-closing documentation and transaction status.
- Perform additional duties and special projects as assigned.
QUALIFICATIONS:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Minimum of one (1) year of experience in legal support, records management, post-closing, real estate transactions, banking, title services, or a related administrative environment preferred.
- Experience working in a law firm, title company, financial institution, or professional services environment preferred.
- Strong organizational skills with the ability to manage multiple assignments and meet established deadlines.
- Excellent written, verbal, and interpersonal communication skills.
- Strong customer service orientation with the ability to work effectively with attorneys, clients, title companies, lenders, and business professionals.
- Ability to work independently while contributing effectively within a collaborative team environment.
- Strong attention to detail and commitment to accuracy when reviewing legal documents and maintaining transaction records.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Adobe Acrobat.
- Experience with document management systems; iManage experience preferred.
- Ability to maintain confidentiality and appropriately handle sensitive client and Firm information.
- Ability to proofread documents for accuracy, grammar, spelling, formatting, and completeness.
- Ability to learn new technology and adapt to changing business processes.
Work Conditions:
This position operates in a professional office environment using standard office equipment and technology. The role requires prolonged periods of computer use, document review, filing, and frequent interaction with attorneys, clients, title companies, lenders, and other business professionals. Occasional lifting of files, boxes, and other office materials up to approximately 20 pounds may be required. Additional hours may occasionally be necessary to support transaction closings, post-closing deadlines, or other business needs.
