Role Overview

We are seeking a self-motivated and detail-oriented Office Administrator to manage daily office operations, including invoicing, accounts payable and receivable, employee onboarding, payroll, and general office filing. This position is essential to keeping our office compliant, organized, and running smoothly.

We are looking for someone who takes initiative and wants to build a long-term career—for the right candidate, there is significant room to grow and advance into other departments within the company.

Key Responsibilities

• Manage Accounts Receivable (AR) by preparing and submitting invoices for commercial and residential projects.
• Process Accounts Payable (AP) by coordinating with vendors, verifying pricing, entering invoices, and issuing payments.
• Assist with payroll processing , tracking employee hours, timesheets, and wage calculations.
• Support Human Resources (HR) functions, including new hire onboarding, maintaining personnel files, and coordinating HR paperwork.
• Perform general office filing and document management, maintaining job folders, permits, insurance certificates, and company records.
• Work independently with a proactive, self-motivated attitude to keep office functions running efficiently.

Qualifications

• Self-motivated drive with a strong work ethic and the desire to grow within the company.
• Prior experience in office administration, administrative assistant, or bookkeeping roles.
• Strong understanding of invoicing, accounts payable/receivable, and basic HR/payroll processes.
• Proficiency in Excel, QuickBooks, or office management software.
• High accuracy, strong organizational skills, and strict confidentiality.
• Excellent written and verbal communication skills.
