Anti-Cruelty Job DescriptionJob Title: Staff AccountantDepartment: FinanceReports To: V.P. of FinanceStatus: ExemptGeneral SummaryUnder the direct supervision of the V.P. of Finance, the Staff Accountant is responsible for managing general accounting functions to support the financial operations of Anti-Cruelty. This role requires strong analytical skills and attention to detail to ensure accurate financial records and compliance with GAAP accounting standards.The Staff Accountant will work collaboratively with the finance team and other departments to maintain the integrity of our financial systems and provide timely reporting for internal and external stakeholders.Creating an inclusive and welcoming culture is central to our work. As outlined in our PETS Work Culture Agreement, we uphold Praise, Engagement, Trust, and Support in all interactions.Essential Job FunctionsUphold the PETS Work Culture AgreementFinancial Record Keeping and ReportingPrepare and post general ledger entries, ensuring accuracy and adherence to Generally Accepted Accounting Principles (GAAP)Reconcile bank statements, credit card accounts, and balance sheet accounts on a monthly basisPrepare and compile monthly financial statements and variance analysis reportsSupport the audit process by organizing documentation and preparing schedules as neededMaintain detailed records of financial transactions, including invoices, receipts, and supporting documentationMonth-End and Year-End ClosingExecute month-end closing procedures, including journal entries, accruals, and reconciliationsParticipate in quarterly and annual financial close processesPrepare balance sheet and income statement adjustmentsAssist with the preparation of year-end financial reports and tax documentationAccounts Payable and ReceivableProcess vendor invoices for payment and maintain vendor filesMonitor accounts payable aging reports and follow up on overdue itemsTrack and record grants, donations, and other revenue sourcesReconcile accounts receivable and follow up on outstanding invoicesCompliance and Special ProjectsMonitor compliance with nonprofit accounting regulations and donor requirementsTrack and record donor-restricted funds and grant spending in accordance with grant agreementsSupport the development and improvement of accounting procedures and internal controlsAssist with budget preparation and analysisPerform ad hoc financial analysis and research as requested by the Finance Director or Executive DirectorMaintain organized filing systems (both physical and digital)General Accounting FunctionsAssist with payroll processing and verificationSupport the accounting system, including data entry and system updatesProcess expense reimbursements and employee advancesMaintain spreadsheets for tracking fixed assets, loans, and other accountsKnowledge, Skills and AbilitiesKnowledge of Generally Accepted Accounting Principles (GAAP)Proficiency with accounting software (Sage Intacct, Bill.com or similar platforms)Strong Excel skills and ability to create reports and spreadsheetsExcellent organizational and time management skillsAttention to detail with the ability to manage multiple prioritiesProfessional communication skills (written and verbal)Ability to work independently and as part of a teamHigh level of accuracy and commitment to quality workBasic understanding of nonprofit accounting and tax-exempt status complianceStrong analytical and problem-solving skillsAdvanced mathematical and accounting knowledgeProficiency in Microsoft Office Suite (Excel, Word, Outlook)Ability to manage confidential financial information with integrityStrong work ethic and reliabilityCommitment to the mission and values of nonprofit organizationsAbility to explain financial concepts to non-financial stakeholdersProject management capabilitiesProfessional judgment and discretionEducation/ExperienceBachelor's degree in Accounting, Finance, or related field, and/or a combination of education and work experience (2-3 years in non-profit accounting roles)1 year of previous experience in an animal related field preferredPreferred QualificationsPrior experience working in a nonprofit organizationExperience with grant accounting and tracking donor-restricted fundsFamiliarity with nonprofit financial reporting requirementsExperience with accounting systems such as Sage or similar enterprise softwareStrong knowledge of internal controls and audit proceduresExperience preparing financial statements for external reportingNote: a comparable combination of education, experience or training that would provide a level of knowledge, skills, and ability may qualify individuals.Physical RequirementsAbility to work in all weather conditions.Ability to work in an open-office environment.Ability to handle work around all companion animals.Ability to remain on feet for long periods of time.Ability to lift up to 40 pounds.Ability to frequently bend, stoop and reach.Ability to be comfortable working with cats, dogs, small animals, reptiles, fish and wildlife.Due to nature of shelter work, may be exposed to deceased, fractious, or aggressive animals; hostile or irate persons; zoonotic or other diseases; unpleasant noises, odors, or sights; and extreme temperatures.The job description is a guide to the essential functions of the job, not an all-inclusive list of responsibilities, qualifications, physical demands, and work environment conditions.
