Business Talent Coordinator

Summary The Business Talent Coordinator collaborates with the Talent Acquisition team to support recruitment initiatives across multiple offices in a hybrid work environment. Responsibilities Coordinate the full candidate life cycle, including maintaining files in the applicant‑tracking system, scheduling interviews, and preparing standard offer letters. Provide administrative support for contingent workforce operations, ensuring compliance and accurate coordination across systems and stakeholders. Create job‑specific requisitions, post positions on internal and external portals, and manage requisition approvals and close‑out processes. Assist hiring managers and candidates with interview scheduling to deliver a seamless experience that enhances the firm’s brand. Prepare and distribute offer letters using approved templates, and coordinate new‑hire onboarding logistics. Track recruitment expenses, process invoices, and review vendor invoices for time‑keeping and contracted rates. Coordinate firm and office‑sponsored events and develop short‑ and long‑term recruitment forecasts aligned with strategic goals. Maintain a recruiting brand by creating an exceptional candidate experience and managing recruitment‑related social media outreach. Maintain accurate records of background‑check activities, verify completeness and compliance, and prepare summary reports on findings and risks. Attend staff meetings and perform other duties as assigned. Desired Skills Experience in a high‑volume recruiting department within a multi‑site professional services organization. Proficiency in MS Outlook, Word, and Excel. Experience with an ATS database (e.g., Workday) preferred. Excellent written and verbal communication, presentation, and interpersonal skills. Strong organizational and time‑management abilities, with meticulous attention to detail. Ability to work effectively under pressure in a fast‑paced environment. Minimum Education High School Diploma or GED (Bachelor’s Degree in Human Resources preferred). Minimum Years of Experience Three (3) years in an administrative support role supporting the full recruitment and selection cycle. Essential Job Expectations Communicate professionally with clients, lawyers, business professionals, and third parties. Produce accurate and timely deliverables, answer phone calls, and respond to correspondence efficiently. Meet deadlines and perform work duties consistently and with quality. Foster positive work relationships, comply with firm policies, and uphold firm values. Manage competing demands in a fast‑paced environment and perform additional duties as assigned. Physical Demands Sedentary work that may involve lifting up to 10 pounds occasionally. Requires sitting most of the time with occasional walking and standing. Work Environment The role may involve a hybrid arrangement of remote and in‑office work, coordinated with the hiring manager or supervisor.
