We are seeking a meticulous, execution-focused Marketing Project Coordinator to serve as the administrative backbone of our corporate marketing department. Reporting directly to the Marketing Director, this is not a content creation role; rather, it is a critical operational position designed for a process-driven professional who excels at tracking, timelines, and logistical coordination.

Qualifications & Experience

• Experience: 2–4 years of experience in project coordination, executive administrative support, event logistics, or corporate office operations. (Note: Direct marketing strategy experience is not required; organizational capability is paramount).
• Advanced Excel Skills (Mandatory): Must have heavy, proven experience working with complex spreadsheets, formulas, and master data tracking.
• Systems Familiarity: Prior experience with CRM systems (such as Microsoft Dynamics 365) and Microsoft Teams is highly preferred. Comfort with or exposure to basic tools like Canva, WordPress, and email marketing platforms is a major plus.
• Logistics & Financial Literacy: Proven ability to manage vendors, coordinate shipping schedules, track project budgets, and compile clear expense reports.
• Core Attributes: Exceptionally organized with a meticulous eye for detail, calm under pressure when priorities shift, and possessing a proactive, "take ownership" mindset.

Responsibilities

• Workflow Management: Drive project administration, build timelines, and track milestones to ensure deadlines are met.

• Asset Routing: Centralize and route creative assets (video, copy, graphics) for executive approval and distribution.

• Cross-Functional Follow-up: Clarify project briefs, gather missing assets from team members, and facilitate interdepartmental communication.

• Data Tracking: Maintain heavy Excel master spreadsheets tracking media placement and operational data.

• Ad Procurement: Purchase, schedule, and secure designated advertising slots.

• Media Mapping: Maintain the master calendar for ad requirements, technical specs, and publication deadlines.

• Expense Administration: Track marketing budgets, and compile monthly expense reports.

• Content Assistance: Draft basic copy for routine needs like event invitations and social posts.

• Trade Show & Events Shipping & Inventory: Coordinate the shipping, tracking, and arrival of booths, banners, merchandise, and tech equipment.

• Collateral Prep: Organize, print, and deliver physical marketing materials to event sites.

• Tech Stack Maintenance: Use Microsoft Dynamics 365 (CRM) and Teams for daily operations; use WordPress (site updates), Constant Contact (emails), and Canva (minor formatting).

• Performance Reporting: Compile and format standard data reports on campaign and media performance.
