Administrative Assistant Level II
The Administrative Assistant Level II will provide administrative and clerical support to managers, employees, and customers with daily office needs and general administrative projects in a professional manner. This is an onsite role requiring you to work at the assigned work location each day.
Administrative: Maintain Outlook calendar and coordinate activity including appointments, conference calls, and meetings. This includes handling reminders, rescheduling appointments, arranging meeting logistics and/or taking and preparing meeting minutes, and provide refreshments as needed. Maintain a current internal phone list and distribute with updates as they occur. Compile, format and edit, correspondence and reports using Microsoft Word, Excel, and PowerPoint. Assist with other related clerical duties such as photocopying, faxing, filing, and collating. Provide support and data as requested for administrative purposes and in support of the Quality Management System. Perform detailed data entry and retrieval as required. Must perform other duties as assigned at the discretion of management. Ensure general copiers are in operational order and fully stocked. Perform end of the day office checks to include but not limited to break room, reception lobby, office lights, etc. Replenish inventory by ordering, receiving, stocking, and distributing office supplies to include but not limited to breakroom and facility maintenance supplies. Maintain a clean and organized office supply, copy/fax area, breakroom, and receptionist area. Other duties as assigned.
Receptionist: Ensure workstation and facility is manned and secure during regular business hours to prevent unauthorized access. Greet, assist, and direct customers, visitors, and staff as appropriate. Screen as necessary if guest is not expected. Answer and screen telephone calls and direct to the appropriate associate. Transfer callers to the associate's voice mailbox and/or take messages when the associate is unavailable. Receive, sort and forward incoming and outgoing mail and publications. Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.).
Education - Associate degree in related field is required. Work experience may substitute for the education requirement. Each 2 years of related experience is equivalent to 1 year of college.
Experience - Minimum of six (6) years of commensurate experience in a business office environment is required, ten years total if no degree.
License, Cert or Registration - Proof of U.S. citizenship or proof of authorization to work in the U.S. Ability to satisfy a background investigation to obtain a security clearance.
Special knowledge, skills, & abilities - Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Visio experience preferred. Requires effective relationship management skills with co-workers in a team environment and with customers and suppliers. Must be courteous, customer focused, well organized, flexible, and able to demonstrate proficient communication. Ability to communicate effectively, both orally and in writing required. Must have database management skills, including training database. Ability to gather data, compile information, and prepare reports required. Must be able to maintain confidential records and information. Knowledge of supplies, equipment, and/or services ordering, and inventory control required. Must be skilled in the use of operating basic office equipment. Must be able to perform simple accounting procedures. Must be self-motivated with a results-driven approach.
