Human Resources Generalist and Student Employment Specialist

Position Overview The HR Generalist & Student Employment Specialist serves as a key member of the Human Resources team and works closely with Financial Aid. The role supports a broad range of HR functions while overseeing the student employment program, ensuring compliance with employment and financial aid regulations, coordinating recruitment and onboarding, maintaining employee records, and providing guidance to supervisors, employees, and student workers. The position promotes a positive employment experience and contributes to organizational effectiveness through excellent customer service and operational support. Essential Functions HR Generalist Functions Assist with recruitment, interviewing, hiring, onboarding, and orientation processes for employees. Administer employee personnel actions, including new hires, transfers, promotions, status changes, and separations. Maintain accurate employee records and ensure compliance with federal, state, and institutional regulations. Respond to employee inquiries regarding HR policies, benefits, payroll, and employment practices. Assist with employee relations matters by providing guidance, documentation support, and referrals as appropriate. Coordinate HR communications and contribute to policy development and implementation. Generate reports and maintain HR data within the Human Resources Information System (HRIS). Support compliance activities, including audits, training, and regulatory reporting requirements. Student Employment Program Administration Coordinate and administer all aspects of the student employment program. Develop and maintain student employment policies, procedures, and program guidelines. Collaborate with and train campus departments to post student positions, recruit candidates, and facilitate hiring processes. Assist with drafting student employee job descriptions. Ensure compliance with federal and state employment regulations, including work‑study requirements and student employment eligibility. Work with Financial Aid to monitor student work hours, funding allocations, and employment status to ensure compliance with institutional, budgetary, and regulatory standards. Conduct training and provide guidance to supervisors and student employees regarding employment procedures and expectations. Serve as the primary point of contact for student employment questions and issues. Ensure compliance with federal regulations regarding I‑9 and E‑Verify. Process student employee federal I‑9 forms and E‑Verify cases. Maintain accurate student employment records and prepare reports related to student workforce activity. Assist with workforce planning and initiatives that enhance student employment opportunities and student success outcomes. Additional Responsibilities Assist students and supervisors with time and attendance in Workday. Assist with HR events, training programs, employee recognition activities, and campus outreach efforts. Perform other duties as assigned. Project Management: Ability to assist in the organization and implementation of a project to completion. Self‑Motivated: Ability to reach a goal or perform a task with little supervision or direction. Time Management: Ability to utilize available time to organize and complete work within given deadlines. Training: Ability to develop a particular skill in others to bring them up to a predetermined standard of performance. Skills & Abilities Education: Bachelor’s degree in Human Resources, Business Administration, Higher Education Administration, or a related field required. Experience: Two years of progressively responsible human resources or student employment experience. Knowledge: Employment laws, HR best practices, and compliance requirements; confidentiality and sound judgment. Preferred Qualifications: HR certification such as SHRM‑CP, SHRM‑SCP, PHR, or equivalent; experience coordinating and administering employment, recruitment, or student employment programs; experience working in higher education or a student‑centered environment; knowledge of employee benefits plans; familiarity with HRIS, applicant tracking systems, and Workday. Communication & Language: Ability to read and interpret documents, write routine reports and correspondence, and speak effectively before groups. Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Computer Skills: Experience with Microsoft Office, Google Applications, databases, spreadsheets; experience with HRIS systems. Certificates & Licenses: PHR certification preferred but not required. Physical Demands Full‑time duties are performed in a normal office environment. The position requires standing, walking, sitting, and reaching frequently. Lifting or carrying up to 20 lbs occasionally and handling light objects (under 10 lbs) frequently is typical. Use of computer equipment and phone is essential.
