Medical Records Manager

Location: New York, NY (Hybrid – 3 days/week in office) We are seeking a highly organized and detail-oriented Medical Records Operations Specialist to support a growing mass tort and mass arbitration practice. This role will oversee the intake, tracking, retrieval, and organization of claimant medical records, working closely with attorneys, operations teams, claimants, and third-party records vendors to ensure efficient and accurate records management. Review, clean, and standardize claimant and provider data for records requests. Prepare and submit medical records request packages, including HIPAA authorizations and supporting documentation. Manage relationships with medical records vendors, track request status, and resolve deficiencies or delays. Coordinate with claimants to obtain updated authorizations and missing information. Maintain provider-specific requirements, forms, and procedures to improve retrieval efficiency. Track, organize, and quality-check incoming records to ensure completeness and accessibility for case teams. Collaborate across legal, operations, intake, and technology teams to enhance records workflows and processes. 3+ years of experience in medical records retrieval, litigation support, healthcare administration, claims operations, or a related field. Strong experience managing high-volume data, spreadsheets, and tracking systems. Working knowledge of HIPAA authorizations and medical records request processes. Experience with records retrieval vendors, provider portals, or document management systems preferred. Proficiency in Microsoft Excel, Word, and database/document management tools. Exceptional organizational, communication, and project management skills. Ability to work independently in a fast-paced, high-volume environment.
