Marketing & Events Operations Coordinator

The Structured Finance Association (SFA) is seeking a highly organized, proactive, and detail-oriented Marketing & Events Operations Coordinator to maintain the systems, data, and workflows that support SFA’s conferences, member engagement, sponsorships, and digital content. This role combines hands-on ownership of Salesforce and Cvent operations with project coordination across marketing, events, and SFA Studios, SFA’s podcast channel.

Reporting to the Head of Sponsorship & Membership Services, the Coordinator works closely with all SFA departments. The ideal candidate is adaptable, resourceful, and comfortable managing a wide variety of responsibilities simultaneously. This position requires strong organizational skills, sound judgment, professionalism, and the ability to proactively solve problems and keep day-to-day operations running smoothly.

Marketing events and sponsorship operations

• Maintain project schedules, checklists, and shared files to track marketing and event deadlines, materials, and approvals.
• Support sponsorship fulfillment by tracking deliverables, collecting logos and other materials, and following up on outstanding items.
• Coordinate approved updates to event webpages, registration information, and promotional materials with the events and communications teams.
• Assist with event materials, signage, supplies, shipping, and onsite logistics for conferences, symposia, and other SFA programs.
• Support onsite logistics for meetings and events as needed
• Assist with preparing meeting spaces, coordinating vendors, and ensuring materials and technology are ready for use
• Provide general support to staff during conferences, meetings, and team activities

SFA Studios and Digital Media Coordination

• Coordinate podcast guest and host scheduling, recording logistics, and production timelines for SFA Studios programming as developed.
• Support recording sessions, download and organize audio and video files, and generate transcripts using designated tools.
• Circulate transcripts and draft videos for review, consolidate feedback, and send edits to SFA’s production partner while tracking revisions and deadlines.
• Coordinate approved episode materials, publishing handoffs, and promotional assets with the communications team; maintain the episode calendar and basic performance reports.

Systems and Member Data

• Maintain Salesforce firm and contact records, including employment changes, membership information, and contact preferences; identify and resolve duplicate or incomplete records.
• Prepare targeted contact lists and routine reports for member communications, event outreach, sponsorships, and engagement tracking.
• Support Cvent event setup and maintenance, including registration forms, confirmation messages, testing, attendee records, and registration reports.
• Review registrations for accuracy and eligibility under SFA’s registration policies, respond to routine attendee inquiries, and coordinate resolution of issues.
• Document recurring workflows and coordinate with staff and external providers to resolve system issues and improve data consistency across platforms.

Office & Workplace Coordination

• Serve as the liaison with building management and office vendors; coordinate maintenance, visitor access, deliveries, mail, and office supplies.
• Welcome visitors and prepare meeting spaces, catering, and conference room technology for internal meetings.
• Coordinate employee support requests with SFA’s external IT provider, maintain equipment inventory, and assist with basic workstation setup and subscription and user access administration.
• Prepare executive expense reports, coordinate meetings as needed, deposit incoming checks, and assist with routine administrative processing in coordination with Finance & Administration.

Qualifications

• 3+ years of relevant experience in marketing operations, event coordination, membership services, administrative operations, or a related role.
• Experience maintaining CRM or registration data, preparing reports, and working confidently with technology platforms; Salesforce and Cvent experience strongly preferred.
• Strong organizational skills, attention to detail, and follow-through, with the ability to manage competing deadlines and work independently.
• Clear written and verbal communication, a service-oriented approach, and sound judgment when handling confidential information.
• Proficiency in Microsoft Office, particularly Excel and Outlook; ability to learn recording, transcription, and content management tools.
• Experience in an association, nonprofit, or professional services environment, or coordinating digital content production, is a plus.
• Bachelor’s degree preferred.

Position Expectations

This role maintains a regular presence in SFA’s Washington, D.C. office, approximately three days per week, with flexibility based on business needs. Occasional travel and early morning or evening event support may be required.

A reasonable estimate of the total compensation range for this role is $65,000-$85,000. This range represents the company’s good-faith estimate of the range of compensation at the time of posting. The actual salary offer to the successful candidate will be based on job-related education, geographic location, training, licensure and certification, and other factors.
