Escrow Assistant

Position Summary

The Escrow Assistant provides administrative and operational support to Escrow Officers throughout the real estate transaction process. This role assists with opening escrow files, preparing documents, coordinating communications between buyers, sellers, lenders, and real estate agents, and ensuring transactions are processed accurately and efficiently. The ideal candidate is detail-oriented, customer-focused, and able to manage multiple deadlines in a fast-paced environment.

Essential Duties and Responsibilities

• Assist Escrow Officers with opening, processing, and closing escrow transactions.
• Prepare and maintain escrow files, ensuring all required documentation is complete and accurate.
• Order payoffs, tax certificates, HOA information, surveys, and other transaction-related documents.
• Coordinate communication with buyers, sellers, real estate agents, lenders, and title personnel.
• Review incoming documents for accuracy and compliance with company policies and regulatory requirements.
• Prepare escrow packages, closing documents, and settlement statements for review.
• Schedule closings and coordinate signing appointments.
• Answer customer inquiries and provide status updates throughout the transaction process.
• Upload, scan, and organize electronic documents within escrow management systems.
• Assist with funding and post-closing activities as needed.
• Maintain confidentiality of sensitive financial and personal information.
• Perform general administrative duties including filing, data entry, correspondence, and record retention.

Qualifications

• High school diploma or GED required.
• Bilingual preferred
• 13 years of experience in escrow, title, mortgage, real estate, or related administrative support preferred.
