SITE COORDINATOR

Job Summary

The Site Coordinator provides daily onsite leadership for the AYES Afterschool Program at an assigned school site. This position helps ensure a safe, structured, engaging, and high-quality experience for participating youth while coordinating daily program activities, supporting staff, maintaining required documentation, and building positive relationships with students, families, school personnel, and AYES leadership.

The Site Coordinator also supports academic, social-emotional, and enrichment programming designed to promote student learning, development, engagement, and positive decision-making.

Job Responsibilities

Site & Program Leadership

• Coordinate and oversee daily after-school operations at the assigned site, including program schedules, activities, transitions, student participation, and staff coverage.

• Maintain a safe, welcoming, organized, and developmentally appropriate program environment.

• Ensure daily programming is implemented consistently with AYES, school partner, funder, and applicable NAZA expectations.

• Communicate incidents, operational concerns, staffing needs, and other significant matters promptly to designated AYES leadership.

• Assist with youth events, field trips, enrichment opportunities, and other program activities as assigned.

Youth Development & Staff Support

• Build positive, professional relationships with youth and encourage learning, engagement, personal growth, and positive decision-making.

• Implement assigned AYES curriculum and lesson plans and provide academic or enrichment support as appropriate.

• Apply approved classroom and behavior-management strategies to maintain a safe, respectful, inclusive, and productive learning environment.

• Provide daily direction and support to assigned program staff, contractors, mentors, and volunteers as appropriate.

• Participate in required training related to classroom management, positive youth development, safeguarding, youth safety, program quality, and other organizational expectations.

• Attend required staff meetings, supervision, training, and professional development.

Family, School & Community Engagement

• Establish and maintain positive professional relationships with students, parents/guardians, teachers, school administrators, and community partners.

• Support student recruitment, enrollment, and retention in collaboration with AYES leadership and school partners.

• Assist families with required enrollment documentation and communicate appropriately regarding program-related matters.

• Collaborate with school personnel and community partners to support smooth program operations and student needs.

• Represent AYES professionally in all interactions.

Documentation, Compliance & Program Quality

• Maintain accurate daily attendance, participation records, and required program documentation in Salesforce and/or other designated systems.

• Support program monitoring, evaluation, grant compliance, reporting, and applicable NAZA requirements.

• Follow all AYES policies and procedures related to youth safety, safeguarding, confidentiality, data protection, professional conduct, discipline, and emergency response.

• Complete required records and reports accurately and by established deadlines.

• Participate in continuous program improvement and help ensure programming meets established quality standards.

• Perform other reasonable duties consistent with the responsibilities of the position and needs of the program.

Qualifications

• Must be at least 18 years of age.

• Associate degree, relevant college coursework, or equivalent education and youth-development experience preferred.

• Experience working with middle school youth in an educational, after-school, mentoring, youth-development, or community-based setting strongly preferred.

• Experience facilitating educational or enrichment activities preferred.

• Strong communication, organization, reliability, and interpersonal skills.

• Strong classroom and behavior-management skills, or willingness and ability to successfully complete required training.

• Ability to lead independently while working effectively as part of a team.

• Ability to communicate professionally with youth, families, school personnel, colleagues, and community partners.

• Ability to maintain accurate records and complete required documentation in a timely manner.

• Must successfully complete required background screening and other youth-serving organization requirements.

• Must meet any additional requirements established by AYES, its funders, or school partners.

• Must be able to safely perform the essential physical responsibilities associated with supervising youth programming, with reasonable accommodation as applicable.

Schedule & Professional Development

The Site Coordinator must be available for scheduled after-school programming Monday through Thursday, approximately 3:30 p.m.–6:30 p.m., as well as required staff meetings, training, supervision, and professional development scheduled throughout the program year.

The position follows the applicable AYES program and school calendar. Scheduled hours may vary based on school closures, program operations, training requirements, enrollment, organizational needs, and available funding.
