The Clinical Program Coordinator supports the successful execution of clinical provider partnership programs by coordinating communications, processes, reporting, and administrative activities across multiple teams. This role brings together data, information, and stakeholder communications to support larger clinical initiatives while ensuring accuracy, consistency, and operational effectiveness. The coordinator partners with clinical, analytics, network, contract, and provider-facing teams to facilitate meetings, manage workflows, maintain documentation, and support continuous process improvement.

This role supports provider partnership initiatives through meeting coordination, project support, communication management, and process improvement activities. This role serves as a key connector across clinical, provider, analytics, and operational teams, ensuring information is organized, stakeholders remain informed, and program activities are executed effectively. Success in this position requires strong organizational skills, initiative.

Key Accountabilities

• Coordinate internal and external provider meetings, including scheduling, agenda development, meeting materials, and follow-up activities.
• Prepare presentations, reports, meeting packages, and communications for provider and organizational stakeholders.
• Manage and maintain SharePoint sites, documentation repositories, and operational resources.
• Track action items, deadlines, and deliverables across multiple projects and teams.
• Support standard operating procedure (SOP) development, maintenance, and process documentation.
• Ensure the accuracy, integrity, and timely distribution of program data, reports, and communications.
• Partner with cross-functional teams to identify process improvements, streamline workflows, and enhance coordination efforts.
• Monitor trends, identify operational issues, and proactively recommend solutions.

Required Qualifications

• High school diploma or equivalent.
• 3+ years of experience in administrative support, operations, project coordination and or meeting management.
• Experience coordinating schedules, preparing meeting materials, and managing communications across multiple stakeholders.
• Strong organizational, problem-solving, and time-management skills.
• Demonstrated ability to work independently, prioritize competing demands, and follow through on deliverables.
• Proficiency with Microsoft Office applications, including PowerPoint, Excel, and Outlook. 

Preferred Qualifications

• Bachelor's degree in business, healthcare administration, public health, communications, or a related field.
• Healthcare, health plan, provider relations, or clinical operations experience.
• Experience using SharePoint or similar collaboration and document management platforms.
• Exposure to project coordination, process improvement, business operations, or data analysis.
• Demonstrated interest in growing a career in healthcare operations, program management, or project management.

This position is an Office role, which requires an employee to work onsite, on average, 3 days per week. We are open to candidates located near one of the following office locations: Minnetonka, MN, or Madison, WI.

The full salary grade for this position is $45,900 - $78,600. While the full salary grade is provided, the typical hiring salary range for this role is expected to be between $45,900 - $68,775. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data.  In addition to compensation, Medica offers a generous total rewards package that includes competitive medical, dental, vision, PTO, Holidays, paid volunteer time off, 401K contributions, caregiver services and many other benefits to support our employees.
