Parts Clerk

Position Summary

T&K Asphalt Services, Inc. is seeking a dependable and detail-oriented Parts Clerk to support the daily operations of the fleet maintenance department. This position is responsible for managing parts procurement, inventory control, shop supply organization, and administrative support functions to ensure mechanics have the materials and resources needed to maintain the Company's fleet and equipment. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced shop environment while supporting both maintenance and operations personnel.

Essential Duties and Responsibilities

• Coordinate and order parts for vehicles and equipment undergoing repair or maintenance.
• Work closely with the Shop Foreman to prioritize parts ordering based on operational needs and equipment downtime.
• Maintain adequate inventory levels of shop supplies and ensure mechanics have the materials needed to perform their work efficiently.
• Log mechanic labor hours and maintain accurate work order records.
• Receive parts and materials, enter them into the inventory management system, generate identification tags, and ensure items are properly labeled and stored.
• Receive, sort, and distribute daily UPS, FedEx, and other vendor deliveries.
• Ensure all received inventory and materials are properly organized and stored in designated locations.
• Monitor purchasing activity and assist in maintaining expenditures within approved budgets.
• Conduct monthly inventory audits and maintain accurate inventory records.
• Order parts, tires, fuel, and other maintenance-related supplies as needed.
• Maintain accurate and up-to-date records within the shop management software system.
• Keep the operations supply closet stocked, organized, and accessible.
• Maintain a clean, organized, and efficient parts storage area.
• Coordinate with the Shop Foreman to identify and return unused or unnecessary parts and materials.
• Pick up parts and supplies from vendors as needed.
• Assist with snow operations and snow removal activities during the winter season.
• Perform other duties as assigned to support fleet and company operations.

Qualifications, Knowledge, Skills & Abilities

• Knowledge of automotive and heavy equipment parts, tools, repair procedures, and maintenance practices.
• Understanding of workplace safety requirements and proper use of personal protective equipment (PPE).
• Ability to manage inventory, purchasing activities, and vendor communications effectively.
• Strong organizational skills and attention to detail.
• Basic computer proficiency, including Microsoft Office applications.
• Ability to communicate professionally with vendors, coworkers, and management.
• Ability to work independently and collaboratively as part of a team.
• Willingness to work flexible hours, including early mornings, evenings, weekends, and during emergency operations when necessary.
• Valid driver's license required.
• High school diploma or equivalent required.
• OSHA training required.
• Massachusetts and Rhode Island Hoisting Licenses are a plus.

Working Conditions / Physical Demands

• Work is performed in both shop and outdoor environments.
• Regular exposure to construction equipment, trucks, trailers, mechanical equipment, and maintenance operations.
• Ability to work indoors and outdoors in varying weather conditions, including extreme heat, cold, rain, and snow.
• Frequent standing, walking, bending, kneeling, reaching, lifting, carrying, and manual handling of parts and materials.
• Must be able to lift and move parts, supplies, and equipment weighing up to 75 pounds.
• Must be able to safely work around moving vehicles, heavy equipment, and mechanical operations.
• Regular exposure to loud noise levels and shop environments.
• Participation in snow operations may require extended hours, overnight shifts, weekend work, and work during inclement weather conditions.

Employment Conditions

• This is a seasonal full-time position and is subject to seasonal layoff periods based on workload, weather conditions, and business needs.
• Overtime, weekend work, and flexible scheduling may be required based on operational demands.
• Participation in winter snow operations is required.
• Employment is contingent upon maintaining a valid driver's license and any required certifications.
