Position Summary

This role is responsible for coordinating the department of Environmental Justice’s (EJ) program activities and will be part of an existing team of EJ coordinators and program managers who are responsible for raising awareness of programs and initiatives. Candidate must be willing to travel throughout NY State and work outside normal business hours for events.

Key Responsibilities

• Assist with all aspects of event logistics, including venue selection, vendor management, attendee travel, and onsite coordination, to ensure flawless execution on event day.
• Maintain & coordinate calendars, manage attendee lists, prepare name badges and conference materials, and manage event registrations.
• Supporting communication with community partners, vendors, local organizations, and internal staff.
• Process event-related invoices, update registration reports, and maintain accurate records for post-event evaluation.
• Track and update internal spreadsheets and documents related to program/event metrics and budget tracking.
• Assist in procurement activities including purchase requisitions.
• Coordinate catering and giveaway orders to support educational programs.
• Support collection, organization and disbursement of promotional and collateral materials.
• Prepare space for in-person events, coordinate with AV team, facilities.
• Support preparation of written reports & presentations for management.
• Works in a flexible role that requires pivoting across priorities and managing diverse tasks as needed.

Required Qualifications and Skills

• Associate or Bachelor's degree.
• Minimum 2 years of business experience.
• Highly effective verbal, written & presentation skills.
• Proficiency in Microsoft Office Suite applications including Word, Excel, and PowerPoint.
• Strong interpersonal skills, with the ability to work in diverse communities, understanding ethnic, social and economic issues.
• High degree of motivation, with the ability to handle competing priorities, while demonstrating a high level of attention to detail.
• Ability to undertake travel, weekend and evening work to coincide with community events and workshops.
• Experience in community outreach is preferred.
• Ability to carry materials to and from events.
• Proficient in data analytics & GIS.
• Travel expectation up to 50% for in-person programming and event execution.
