Office Administrator – Medical Nonprofit Organization Welcome to Hearing and Speech Center of Florida, an 88‑year‑old nonprofit serving individuals with educational, disability, and specialized needs. We are Miami‑Dade County’s nonprofit provider of therapy services including hearing testing, hearing aid dispensing, speech therapy, occupational therapy, physical therapy, and educational services in collaboration with sites across the county. We serve community programs, schools, hospitals, and many other federal & state programs in addition to our own clinic and school. We are seeking a highly motivated and experienced Office Administrator / Manager with direct medical office experience to join our team. The ideal candidate will oversee day‑to‑day operations, ensuring all functions run smoothly and efficiently. Responsibilities Manage team members in full medical practice, increase service contracts Understand and manage credentialing, contract management, budgets, revenue cycle, and licensing requirements for the agency Full understanding of front‑ and back‑end processes Understand verification, authorization processes, and Medicaid/Medicare insurance plans Oversee billing, coding, collections, reconciliations, and payment application process Manage schedules with admin team to ensure all medical staff have full schedules Administer A/P, A/R, daily financial management, and bank deposits HR management, new employee onboarding, and orientation Comprehension of billing/coding, contractual adjustments, contract requirements Facilitate employee payroll administration (work with finance team) Use of Word, Excel, and PowerPoint Analyze and predict needs of the center for operational decisions Market, strategize, and initiate new projects for the agency’s operations Have connections with resources to further the center’s mission Implement marketing strategies as needed for the agency programs Develop and implement operational strategies to achieve business objectives and improve profitability Direct the operations team to ensure timely and cost‑effective delivery of services Plan and execute projects, including budgeting, scheduling, and resource allocation Identify and implement process improvements to increase efficiency and reduce costs Develop and maintain operational policies, procedures, and standards Analyze and report on operational performance, identifying areas for improvement Collaborate with management to develop and implement strategic plans Ensure compliance with regulatory requirements and company policies Foster a positive and productive work environment, promoting employee engagement and growth Provide training and support to operations staff to enhance skills and performance Manage and resolve operational issues and conflicts in a timely and professional manner Qualifications Bachelor’s degree in Business Administration, Operations Management, or a related field Proven experience in operations management in a related industry Strong leadership and management skills, with the ability to motivate and direct a team Excellent communication and interpersonal skills, able to work effectively with employees at all levels Analytical and problem‑solving skills, with the ability to identify and resolve operational issues Strong attention to detail and organizational skills, with the ability to prioritize tasks and meet deadlines Ability to work in a fast‑paced environment and adapt to changing priorities and circumstances All your information will be kept confidential according to EEO guidelines. #J-18808-Ljbffr
