We are looking for a Customer Service Representative to support daily order processing and customer communications for a Long-term Contract position based in Pine Brook, New Jersey. This role focuses on delivering responsive service, coordinating shipment details, and keeping order and inventory records accurate across internal systems. The ideal candidate is organized, detail-oriented, and comfortable working with customers, warehouse teams, and operational staff in a fast-moving environment.

Responsibilities:

• Review incoming customer orders for completeness, confirm product availability, and enter accurate details into the company’s accounting system.

• Communicate with customers regarding order progress, expected delivery timelines, freight costs, and account-related matters such as credit terms.

• Coordinate closely with warehouse and operations teams to ensure orders are prepared correctly and inventory information remains current.

• Prepare shipping-related documentation, including freight quotes and bills of lading, for outbound deliveries.

• Investigate and process transportation claims involving damaged merchandise while maintaining clear supporting records.

• Generate sales orders, invoices, and credit memos for returns, ensuring all transactions are documented properly.

• Maintain organized digital and physical filing systems for customer, inventory, and order documentation, including cloud-based records.

• Respond promptly and professionally to purchase orders, inbound inquiries, and customer messages while providing timely inventory updates as needed.

• At least 1 year of experience in customer service, order entry, logistics support, billing, Bill of Lading or a related function.

• Ability to manage multiple priorities effectively and remain productive in a fast-paced setting.

• Strong accuracy and attention to detail when handling orders, invoices, and customer records.

• Solid organizational skills with the ability to maintain structured documentation and data files.

• Working knowledge of invoicing, credits, returns, and general order processing procedures.

• Proficiency with Microsoft Office applications and comfort using accounting or order management software.

• Strong communication and problem-solving skills, with the ability to collaborate well across teams.
