Part-time Administrative Assistant and receptionist

Alliance Française de San Francisco

Company Description Alliance Française de San Francisco is a non-profit organization founded in 1889, making it the oldest Alliance Française in the United States. Located in San Francisco, CA, the organization is dedicated to promoting the French language and Francophone cultures. Its mission is to foster understanding, friendship, and collaboration between French-speaking communities and the broader San Francisco community. Alliance Française de San Francisco offers language classes, cultural events, and community programs to support this mission. In 2015, it was recognized by CBS as offering the best language classes in the Bay Area.

We are seeking an upbeat, creative, and detailed individual who wants to share their love for French language and Francophone cultures !

Role Description

This is a part-time, on-site Administrative Assistant and Receptionist role based in San Francisco, CA. The

Example of tasks

  • Answering phone and emails
  • Greeting in-person patrons
  • Customer service
  • Using database software
  • Sales and drafting invoices
  • Administrative tasks

The position requires consistent, reliable presence at the front desk during assigned hours to ensure a welcoming and organized environment for students, visitors, and partners.

SCHEDULE (not flexible)

Job Type: Part-time

  • Monday : off
  • Tuesday: off
  • Wednesday: 12:30-7:30 (7 hours)
  • Thursday: 12:30-7:30 (7 hours)
  • Friday: off
  • Saturday: 8:45am-1:15pm (4.5 hours) - not flexible, Saturday availability is mandatory.
  • Sunday: off

Minimum Qualifications

  • High School degree or equivalent required; BA/BS degree preferred
  • Experience in office administration preferred
  • Must have excellent verbal and written communication skills in English
  • Advanced professional-level French skills (we receive & answer phone calls and emails in French)
  • Must have a thorough working knowledge of Google Workspace (gmail, google sheets, etc.)
  • Must have an ability to complete paperwork accurately and write business correspondence.
  • Must have problem-solving skills
  • Must have experience working within databases, and have excellent data entry skills.
  • Must have customer service and reception skills.
  • Must be able to handle multiple tasks simultaneously in a fast-paced environment with excellent attention to detail.
  • Must have demonstrated organizational and filing skills.
  • Must pass all post-contingency offer background checks, reference checks, and TB screening clearances.
