We are seeking a reliable, detail-oriented Assistant to support a Financial Advisor with Allstate Financial Services. This role is essential to keeping the advisor’s calendar full, appointments confirmed, and client follow-ups completed. The ideal candidate is organized, proactive, and comfortable making outbound phone calls.

What You’ll Do:

Manage and maintain the advisor’s calendar to ensure full daily schedules

Keep track and manage contact with referrals and leads from marketing sources

Contact referrals to set appointments

Schedule review meetings with existing clients

Confirm appointments and clearly communicate meeting details (when, where, and venue)

Follow up with clients on:

Life insurance underwriting requirements

Investment transfers and paperwork

Outstanding documents and next steps

Track appointments, follow-ups, and case status in CRM/scheduling systems

Provide day-to-day administrative and client support

Provide some translation services for clients

What We’re Looking For:

Strong phone and communication skills

Excellent organization and time management

Professional, friendly, and dependable

Comfortable handling confidential client information

Ability to manage multiple tasks and follow processes

Fully Bilingual English-Spanish is required

Experience in insurance, financial services, or scheduling is a plus, but not required

Appointments are confirmed and attended

Clients feel informed and taken care of

Follow-ups are completed accurately and on time
