Administration Assistant

Louisville Fire Department - Colorado

Administrative AssistantSchedule: Part-time (approximately 30 hours per week)FLSA Status: Non-ExemptReports to: Division Chief of Risk Reduction / Fire MarshalPosition OverviewThe Louisville Fire Protection District is seeking a detail-oriented and customer-focused Administrative Assistant to support the Fire District.Under the supervision of the Division Chief, this position serves as the primary point of contact for the Louisville Fire Protection District, providing assistance to the public, staff, and partner agencies, and performs a wide range of administrative and customer service duties.The ideal candidate is organized, adaptable, and thrives in a fast-paced environment with diverse responsibilities. Occasional additional hours may be required to support special events or operational needs.Key ResponsibilitiesServe as the front desk receptionist by answering and routing calls, greeting visitors, and handling deliveriesPerform clerical duties including filing, scanning, data entry, and scheduling meetingsManage incoming and outgoing mail, packages, and shipping (USPS, UPS, certified mail, etc.)Provide administrative support for Community Risk Reduction (CRR) programs and operationsProcess electronic correspondence and online applications related to plan review and permits generated by CRR personnel in accordance with fire code requirements.Track payments, reconcile accounts, and follow up on outstanding invoicesAssist the public with Ambulance Membership Program enrollment and renewalsSupport community risk reduction programs (e.g., smoke alarms, CARES, school tours)Help develop educational materials and community outreach initiativesMaintain professional relationships with partner agencies and community stakeholdersContribute content for the district website and social mediaPerform other duties as assignedWhat We’re Looking ForStrong customer service skills with a professional and approachable demeanorAbility to manage multiple tasks and adapt to changing prioritiesExcellent written and verbal communication skillsStrong organizational skills and attention to detailAbility to work independently and collaborativelyProficiency in Microsoft Office and ability to learn new systemsUnderstanding of public service and fire department operations (preferred)Ability to maintain confidentiality and handle sensitive informationMinimum QualificationsHigh school diploma or G.E.D.At least 3 years of administrative support experience, including customer serviceValid Colorado driver’s licenseRequired Within First YearCPR and Basic First Aid certificationCompletion of NIMS ICS 100, 200, 700, and 800 coursesWorking ConditionsPrimarily office or fire station environment with occasional community-based workMay include exposure to outdoor environments and varying weather conditionsPhysical requirements include sitting, standing, walking, bending, lifting, and repetitive motionMust pass a pre-employment criminal background check Apply today to be part of a mission-driven organization serving our community. #J-18808-Ljbffr
