Job Summary Under the primary supervision of the Associate Director, First Year Experience, the FYE Office Coordinator is a key member of the 5-person staff and broader New Student Programs (NSP) team. The FYE program includes Peer Mentoring, academic advising and career readiness programs, faculty programs, Living-Learning Communities and First Year Aggie Connections. This role oversees the administrative processes involved in the development, implementation and evaluation of the campus-wide FYE program that fosters the successful academic and personal transition of over 9,500 incoming, undergraduate first-year and transfer students and their supporters annually. Responsibilities include: working with sensitive student information, complex policies, procedures and registration systems including FYAC registration; provide analytical and administrative support for the FYE program including fiscal transactions, project and resource planning, reports; working collaboratively in a team environment; oversight of the residential academic centers; managing multiple complex calendars and meetings, including agendas & minutes, and scheduling student staff; developing, evaluating and providing primary customer service for students; developing and providing central communication and resource point for students, staff and visitors; assisting in day-to-day operations of the FYE program; maintaining key/access control and occupancy data; supporting ancillary activities (e.g., Yield). This position may recruit, hire, supervise and train one FYE student assistant; delegates and directs workload for 50+ student managers and peer mentors; creating an environment focused on inclusion and academic success. Apply By Date 08/17/2026 by 11:59 pm Qualifications Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position High school diploma or equivalent experience Experience working in a customer service driven business office environment, serving diverse audiences, to interpret, analyze and communicate in person, via email, over telephone and virtual platforms, information, policies and guidelines; experience being adaptable, learning quickly and independently; utilize MS Office, accounting and graphic presentation software, word processing, Qualtrics and Box platforms. Experience hiring, supervising, directing training, providing feedback and/or corrective action for college student employees. Project coordination experience with day-to-day operations: determine competing workload priorities, establish and effectively meet deadlines, goals and objectives in a fast-paced, high-volume, busy environment. Experience managing and scheduling multiple calendars, scheduling meetings with large groups of people. Experience compiling, synthesizing and articulating large amounts of data into summaries (minutes) and detailed reports, graphs, images; experience with spreadsheets, databases, word processing, financial applications. Experience maintaining confidentiality, privacy and secure records relevant to financial transactions, student records and other sensitive documents, adhering to FERPA, cybersecurity policies and other privacy laws. Interpersonal, communication (oral, written, virtual), and teamwork skills to interact effectively and tactfully, maintain positive working relationships with individuals, campus units, external vendors and guests from diverse cultural backgrounds and perspectives to build mutual respect, fairness and inclusion to accomplish job functions. Preferred Qualifications Bachelor’s degree in social sciences, humanities, sciences, arts, engineering or business from an accredited institution. Experience using the Aggie Enterprise and Aggie Expense systems, BANNER, TRIRIGA, AggieDash; basic accounting experience to ethically monitor expenditures/accounts. Analytical and problem-solving skills to anticipate/identify problems and develop creative solutions, exercising independent judgment, remain objective, and represent differing points of view. Demonstrated skills composing, editing for accuracy, consistency, spelling, grammar, and professional appearance, attention to detail, recognize and correct discrepancies, including emails, websites, marketing, and keep accurate and detailed records. Organizational, time management and flexibility skills to prioritize, work under pressure of deadlines, heavy meeting schedules and sizeable numbers of student contacts. Key Responsibilities 60% - First Year Experience Program Support & Implementation 30% - General, Technological, Responsibilities 10% - Supervision & Training Department Overview The UC Davis New Student Programs department is responsible for the coordination and implementation of the Student Affairs New Student Orientation and First Year Experience programs for new undergraduate students and their families and supporters. New Student Programs (NSP) is a self-supporting auxiliary, within Student Success & Equity Innovation (SSEI), Division of Student Affairs. NSP provides orientation, transition, academic and retention support to approximately 10,000 first-year and transfer students, as well as resource support for their parents and supporters. NSP is a collaborative partner with Student Housing & Dining Services (SHDS).
