Project Manager

The Design and Construction Project Manager oversees the full lifecycle of small design and construction projects, from programming and planning through design, construction, and activation. This role ensures projects are delivered on schedule and within budget while meeting program objectives, hospital standards, and applicable governmental regulations. The position serves as a key liaison between users and all project participants—including consultants, contractors, vendors, and jurisdictional agencies—and plays a central role in documentation, administration, and stakeholder coordination within a healthcare-focused environment.

• Manage day-to-day activities related to programming, planning, design, construction, and activation for multiple small projects simultaneously, ensuring alignment with scope, schedule, and budget.
• Assess and document project scope and program, clearly defining objectives, physical requirements, parameters, and constraints, including user functional needs, hospital criteria, and external jurisdictional requirements for health, safety, operations, maintenance, energy efficiency, quality, context, and aesthetics.
• Ensure completion of all projects within approved budgets and schedules while meeting program objectives and complying with hospital, departmental, and regulatory standards.
• Act as a liaison between client/users and project participants such as consultants, contractors, vendors, and outside jurisdictional agencies, maintaining effective communication and coordination.
• Implement quality control measures to ensure compliance with department, hospital, and university policies, government codes and regulations, and the requirements of all project stakeholders.
• Maintain regular, timely communication to keep all project participants informed of project status, key issues, risks, and required actions.
• Manage the process of furnishing and equipment selection, purchasing, and installation to support project activation and operational readiness.
• Oversee the review and approval process for all design work from schematic studies through final construction documents, including field changes and scope changes, and secure approvals for conceptual and detailed project budgets.
• Lead the selection process and contract negotiations for consultants, contractors, and vendors, ensuring appropriate qualifications, scope, and commercial terms.
• Prepare and maintain accurate, coherent, timely, and auditable project records and files, including cost estimates, in accordance with departmental procedures, and ensure space inventory reports are complete and up to date.
• Provide leadership and supervision to assigned consultants and project engineers, mentoring them and supporting their growth in site coordination and project delivery.
• Manage 10–20 concurrent projects at different phases of the lifecycle, maintaining accountability for scope, schedule, budget, and documentation on each project.
• Coordinate and oversee tenant improvement and small infrastructure projects, typically ranging from approximately $100,000 in tenant improvements to $3 million in infrastructure work.
• Ensure project compliance with hospital infection control procedures and other healthcare-related requirements throughout planning and construction.
• Utilize project management tools and systems, including scheduling and financial platforms, to develop, read, and manage project schedules and budgets.
• Support the development of departmental policies, guidelines, and standards, and represent the department on committees and in professional organizations as needed.
• Apply strong stakeholder management skills in a healthcare and critical facilities environment, gaining cooperation and alignment from diverse internal and external groups.
• Oversee construction administration activities such as RFIs, change orders, permitting, inspections, and coordination with mechanical, electrical, and plumbing trades.
• Prepare and present reports, financial projections, and project updates to leadership and stakeholders, providing clear, data-driven insights on project performance.
• Ensure adherence to local, state, and federal regulatory requirements related to construction, facilities, and healthcare environments.

• Minimum of three (3) years of progressively responsible and directly related work experience in project management, construction management, or design and construction; five or more years of experience preferred.
• Demonstrated experience managing multiple projects concurrently, including full lifecycle project management from concept through activation.
• Strong background in construction and construction management, including tenant improvement and commercial construction projects.
• Ability to develop, read, and manage project schedules; familiarity with scheduling concepts and tools such as Primavera P6 is beneficial, even if not required.
• Experience with project cost estimation, budgeting, and cost control for projects in the $100,000 to $3 million range.
• Proficiency in project documentation and administration, including RFIs, change orders, permitting, and construction administration processes.
• Ability to budget, make financial projections, and write clear, concise reports for leadership and stakeholders.
• Strong stakeholder management skills, with the ability to establish and maintain effective relationships with diverse groups at all levels inside and outside the organization.
• Ability to handle sensitive situations using consultative skills when working with internal and external constituents.
• Ability to plan, organize, motivate, mentor, direct, and evaluate the work of others, including consultants and project engineers.
• Ability to prioritize work by making informed judgments and developing solutions for complex problems in a fast-paced environment.
• Ability to utilize project management tools and systems, including platforms such as PM Web for financials (preferred).
• Knowledge of CAD systems and CAFM, as well as estimating, cost control, scheduling, construction administration, quality control, specification writing, and space planning.
• Knowledge of local, state, and federal regulatory requirements relevant to construction and healthcare facilities, including agencies such as HCAI/OSHPD.
• Comfort working 100% on-site in an in-person environment with approximately 75% time in the office and 25% in the field.
• Experience in healthcare projects or other live critical facilities (such as banking or similar environments) where operations must remain active during construction.
• Ability to ensure project compliance with hospital infection control procedures and safety standards.

• Bachelor's degree in a work-related discipline or field from an accredited college or university.
• Experience acting as an owner’s representative on construction and tenant improvement projects.
• Mechanical, electrical, and plumbing (MEP) experience or familiarity, including MEP design and coordination, is preferred.
• Experience with tenant improvement projects in commercial or healthcare settings.
• Knowledge of facility systems and healthcare infrastructure requirements.
• Exposure to PM Web for project financials and Primavera P6 for scheduling is preferred.
• Familiarity with healthcare regulatory agencies and standards, including HCAI/OSHPD.
• Certified Facility Manager (CFM) credential preferred.
• Project Management Professional (PMP) certification preferred.
• OSHA-10 certification or similar safety training preferred.
• Understanding of safety requirements and OSHA standards in construction environments.
• Experience with AutoCAD and related design tools for reviewing plans and coordinating with design teams.
• background in commercial construction estimation and cost analysis.

The role is based full-time at an offsite facility in Menlo Park that is closely associated with a major adult hospital. The position sits within a Project Management Office that oversees all construction and tenant improvement projects for the hospital, working alongside Environmental Health and Safety, Facilities, Maintenance, and Construction teams. Work is 100% on-site with no remote option, with approximately 75% of time spent in the office on planning, documentation, coordination, and administration, and about 25% in the field overseeing site activities and project execution. The environment is highly collaborative and documentation-heavy, with significant emphasis on safety, infection control, and regulatory compliance. You will work in and around active healthcare and critical facility spaces, coordinating with multiple stakeholders and using tools such as CAD, CAFM, PM Web, and scheduling software to manage projects from concept through completion.

This is a Contract to Hire position based out of Menlo Park, CA.

The pay range for this position is $62.50 - $68.00/hr.
