Accounts Payable (AP) Specialist

Overview We are seeking a detail-oriented and motivated entry-level Accounts Payable (AP) Specialist to join our finance team part-time. This role works in-office and supports daily operations of the accounting department. Reporting to the Accounting Manager, you will handle data entry, invoice processing, and vendor communications. This is an excellent opportunity for a student, recent graduate, or someone building a foundational career in accounting. Responsibilities Invoice Processing: Review, verify, and enter high-volume vendor invoices into the accounting system accurately. Three-Way Matching: Match invoices to purchase orders and receiving documents to ensure correct billing. Data Entry: Maintain accurate financial records by coding invoices to the correct general ledger (GL) accounts. Vendor Support: Respond to vendor inquiries regarding payment status and resolve minor billing discrepancies. Expense Reports: Assist in reviewing and processing employee expense reports for accuracy and policy compliance. Team Assistance: Provide administrative support to the Accounting Manager during month-end closing processes. Qualifications Experience: 0–2 years in an office, administrative, or accounting environment (internship experience counts). Education: High school diploma required; pursuit of or completion of an Associate’s or Bachelor’s degree in Accounting, Finance, or Business is a plus. Software Skills: Familiarity with MS Excel (basic formulas and data entry) and an eagerness to learn accounting software (e.g., SAP, QuickBooks, NetSuite, or Sage). Attention to Detail: High level of accuracy in data entry and a sharp eye for identifying numerical errors. Communication: Clear verbal and written communication skills for interacting with vendors and internal teams. Reliability: Dependable attendance and punctuality for a consistent in-office schedule. 3 weeks PTO (Vacation + Sick pro-rated based on the worked hours).
