Job Title: HR Operations Specialist - Onboarding, US Compliance & Global Mobility Location: West palm beach, FL Hybrid Duration:12 months to start with the possibility of extension Job Summary We are seeking an experienced HR Operations Specialist with 3-5 years of HR operations experience and demonstrated expertise across onboarding, US I-9 compliance, global mobility, HR systems, project management, and employee lifecycle processes. In this role, the specialist will serve as a subject matter expert and escalation point for complex HR Operations matters, with primary responsibility for US, Canada, LATAM onboarding and compliance processes. The ideal candidate will bring deep knowledge of US I-9 requirements and related complexities, strong HR systems expertise, and the judgment to independently manage Tier 2 and Tier 3 cases involving sensitive employee, manager, and compliance issues. Success in this position requires the ability to work confidently across multiple HR systems while partnering with Legal, HR Centers of Excellence (COEs), external vendors, HR Business Partners, employees, managers, and other stakeholders to resolve issues, strengthen processes, and deliver compliance-focused initiatives with accuracy and consistency. Key Responsibilities HR Operations & Case Management Manage and resolveTier 2 and Tier 3 complex HR Operations cases, primarily related to US Onboarding and employee lifecycle processes. Act as a subject matter expert for complex onboarding scenarios, ensuring timely, accurate, and compliant resolution. Analyze case trends, identify root causes, and recommend process or system improvements that reduce recurring issues and improve the onboarding experience. Ensure appropriate escalation and coordination with Legal, Compliance, HR COEs, and external vendors when required. US I-9 & Compliance Serve as a key subject matter expert and owner forUS I-9 processes and compliance. Demonstrate strong knowledge of I-9 requirements, documentation standards, exceptions, corrections, reverification, and other US employment eligibility complexities. Lead and manage US I-9 compliance activities, ensuring processes are executed accurately and in accordance with applicable requirements. Partner closely with Legal, Compliance, HR teams, and external vendors on I-9-related matters and compliance requirements. Identify potential compliance risks and proactively recommend corrective actions and process improvements. Support audits, compliance reviews, documentation requirements, and remediation activities as needed. Stay current on changes impacting US onboarding and employment eligibility processes and translate requirements into operational processes. HR Systems & Technology Demonstrate strong working knowledge ofclient HR Service Delivery (HRSD)and utilize the platform to manage, investigate, document, and resolve complex HR cases. Experience with HireRight, Workday, and Avature ATS is a strong plus. Identify system gaps and collaborate with HR Technology/IT teams to implement solutions and enhancements. Support system testing, process changes, releases, and implementation activities as required. Global Mobility & Employee Lifecycle Provide operational support and subject matter expertise acrossGlobal Mobility and employee onboarding processes. Demonstrate a strong understanding of theend-to-end employee lifecycle, including onboarding and related HR processes. Partner with Global Mobility, HR COEs, Legal, vendors, and other stakeholders to ensure seamless execution of employee movements and onboarding activities. Analytics, Reporting & Process Improvement Develop and maintain operational reports, dashboards, metrics, and analytics that monitor HR Operations performance, compliance status, onboarding quality, and case-management effectiveness. Analyze operational data to identify risks, trends, process gaps, and opportunities for improvement. Establish and monitor key metrics related to case volumes, resolution times, compliance, onboarding, and operational performance. Drive continuous improvement initiatives that enhance efficiency, compliance, accuracy, and employee experience. Project & Stakeholder Management Independently manage targeted projects and process improvement initiatives from planning through execution and completion. Develop project plans, coordinate stakeholders, track deliverables, identify risks, and ensure timely completion. Work collaboratively with multipleHR COEs, Legal, HR Technology, HR Business Partners, Global Mobility, vendors, and other business functions. Support larger HR transformation, system implementation, compliance, and process improvement projects as required. Required Qualifications & Experience 6-8 years of relevant HR Operations experience, preferably within a global organization. Strong hands-on experience with HR onboarding processes, particularly US onboarding, and demonstrated expertise in US I-9 processes, complexities, exceptions, corrections, reverification, and compliance. Experience handlingTier 2/Tier 3 HR casesor equivalent complex HR operations escalations. Strong working knowledge ofclient HRSD. Good understanding ofGlobal Mobility processes. Experience partnering withLegal, Compliance, HR COEs, HR Technology, and other cross-functional teams. Experience working withexternal HR vendors/service providers. Strong proficiency inMicrosoft Excel, PowerPoint, and data analytics/reporting. Ability to create and interpretdashboards, reports, and operational metrics. Strong project management skills with the ability to independently manage small-to-medium process improvement initiatives. Avature ATS experience is highly desirable. Preferred Qualifications Preferred qualifications include experience supporting global HR operations, familiarity with immigration or employment eligibility workflows, experience participating in HR technology releases or user acceptance testing, and comfort translating policy or compliance requirements into practical operating procedures. They will be comfortable operating in a fast-paced environment, managing competing priorities, taking ownership of projects, and proactively identifying opportunities to improvecompliance, operational efficiency, data quality, and the overall employee experience.
