PROPERTY MANAGER

Winding Brook Apartments | Kokomo, Indiana | Full-Time

Position Overview

We are seeking a dependable, organized, and proactive Property Manager to oversee the day-to-day operations and leasing performance of Winding Brook Apartments in Kokomo, Indiana.

The leasing office serving both Winding Brook Apartments and Ashbury Apartments is located at Ashbury. This position’s primary responsibility is Winding Brook; however, the Property Manager will also work from the shared Ashbury leasing office and provide support to the Senior Property Manager at Ashbury as needed. This includes greeting and assisting walk-in prospects and residents, responding to inquiries, and helping maintain a professional, responsive leasing-office environment.

The Property Manager will manage leasing, resident relations, inspections, lease administration, documentation, and operational follow-through for Winding Brook. Maintenance repairs, rent collections, and accounting are handled by other personnel, but the Property Manager is expected to coordinate with those teams and follow issues through to resolution. The ideal candidate takes ownership, communicates clearly, uses sound judgment, and provides consistent, professional service.

Key Responsibilities

Winding Brook Leasing, Marketing & Occupancy

· Manage the leasing process from initial inquiry and marketing through showings, application processing, lease execution, and move-in coordination.

· Develop and carry out practical marketing and follow-up strategies to reduce vacancies and meet occupancy goals.

· Track leads, showings, applications, and leasing conversions; follow up promptly with prospective residents.

· Coordinate lease renewals and communicate with residents about upcoming lease expirations to support retention.

· Monitor competing rental properties and local market conditions and share recommendations to improve leasing performance.

Shared Leasing Office & Ashbury Support

· Work from the shared leasing office at Ashbury Apartments, which serves both Ashbury and Winding Brook.

· Assist the Senior Property Manager at Ashbury as needed, including greeting walk-in prospects and residents, answering general questions, helping with leasing inquiries, and directing requests to the appropriate person.

· Provide courteous, timely service to visitors and callers and help ensure inquiries are handled professionally when the Senior Property Manager is unavailable or assisting others.

· Communicate and coordinate with the Senior Property Manager to support consistent service and smooth day-to-day office operations, while maintaining primary responsibility for Winding Brook.

Resident Relations & Lease Administration

· Build professional relationships with residents and respond to questions and concerns in a timely, respectful manner.

· Address complaints, neighbor disputes, noise concerns, and lease violations consistently and in accordance with company policies and applicable requirements.

· Prepare and deliver lease violation notices, renewal notices, nonrenewal notices, and other resident communications as appropriate.

· Document resident interactions, complaints, incidents, warnings, and follow-up actions accurately and objectively.

· Use sound judgment to de-escalate difficult interactions and promptly escalate safety concerns or sensitive matters to management.

Property Inspections & Building Oversight

· Conduct routine inspections of buildings, common areas, grounds, and vacant units to identify cleanliness, damage, security, safety, and maintenance concerns.

· Monitor property appearance and condition and document or report issues requiring follow-up.

· Verify that vacant apartments are clean, presentable, and ready for leasing.

· Identify potential liability concerns, unauthorized occupants, and property-security issues and report them through established procedures.

Maintenance Coordination & Follow-Through

· Communicate resident maintenance concerns to maintenance personnel and monitor outstanding work orders through completion; repairs are performed by maintenance personnel.

· Coordinate access for contractors, inspections, and scheduled preventative maintenance.

· Communicate service delays and recurring maintenance concerns to appropriate personnel and follow up with residents when needed.

· Promptly escalate urgent conditions, including water leaks, fire or life-safety concerns, security issues, and other potentially hazardous conditions.

Compliance, Records & Administration

· Maintain accurate, complete, and organized resident files, including applications, screening documentation, signed leases, addenda, notices, and correspondence.

· Follow Fair Housing requirements, applicable federal, Indiana, and local laws, and company policies.

· Handle sensitive resident information confidentially and maintain thorough records of communications and property-related incidents.

· Follow established procedures for reasonable accommodation requests and other sensitive compliance matters, escalating questions when appropriate.

· Maintain accurate data in property management software and collaborate with office staff to support efficient operations.

Communication & Accountability

· Organize daily responsibilities, prioritize competing needs, meet deadlines, and take ownership of Winding Brook’s operations and leasing performance.

· Provide regular updates to company leadership regarding vacancies, leasing activity, resident concerns, property conditions, and unresolved issues.

· Coordinate with maintenance, collections, accounting, and the Senior Property Manager at Ashbury to support efficient operations across both locations.

· Identify operational problems, recommend practical solutions, and communicate significant issues promptly.

Qualifications

· Previous property management, leasing, customer service, or related experience preferred; multifamily residential experience is an advantage.

· Strong leasing, marketing, follow-up, and customer-service skills.

· Knowledge of leasing processes, resident relations, Fair Housing requirements, and landlord-tenant regulations—or the ability to learn and apply them effectively.

· Excellent written and verbal communication skills and the ability to work professionally with people from diverse backgrounds.

· Strong organization, attention to detail, recordkeeping, and time-management skills.

· Ability to handle resident concerns and difficult interactions calmly, professionally, and with sound judgment.

· Ability to work independently while collaborating with the Senior Property Manager and other team members.

· Proficiency with office software and data entry; experience with property management software such as AppFolio is a plus.

· Reliable transportation and ability to travel between the Kokomo properties as needed.

Performance Expectations

· Maintain consistent leasing activity and work toward established occupancy goals for Winding Brook.

· Respond to prospective and current residents in a timely and professional manner.

· Provide helpful, professional support to visitors and walk-ins at the shared Ashbury leasing office.

· Keep resident records and property-management data accurate and up to date.

· Ensure resident concerns, lease violations, and operational issues are documented and receive appropriate follow-up.

· Complete regular property inspections and promptly report identified concerns.

· Demonstrate initiative, sound judgment, accountability, and ownership of assigned responsibilities.
