Legal Receptionist

Do you have a passion for helping others and creating a positive first impression? We’re seeking a professional, friendly, and dependable Legal Receptionist to join our team. As the first point of contact for our firm, you’ll answer and direct calls, greet clients, schedule appointments, assist with new client inquiries and leads, and provide administrative support to our intake team. Responsibilities: Open office each morning, including disarming alarms, unlocking designated areas, and turning on office equipment. Prepare attorney folders and confirm that required intake forms are included. Keep conference rooms, reception areas, walkways, and restrooms clean, organized, stocked, and client-ready. Prepare refreshments for clients as needed. Notify the Operations Manager when office or kitchen supplies are running low. Complete closing procedures, including shutting down equipment, restocking supplies, securing doors and designated areas, turning off lights, and setting the alarm when applicable. Front Desk and Client Service Greet and assist clients, visitors, and walk-ins in a friendly and professional manner. Answer and direct incoming calls, make outbound calls as needed, and send email messages to attorneys. Maintain a professional and welcoming front-office environment. Intake Overflow Support Assist with intake calls when intake team members are unavailable. Collect the caller’s basic contact information and a brief description of their legal matter. Create and update opportunities in our CRM, including the caller’s information, general practice area, call notes, assigned staff member, and current status. Provide overflow support only; full intake screening, consultation decisions, and conversion discussions should be handled by the intake team unless otherwise directed. Mail, Payments, and Administrative Support Open and distribute incoming mail. Record checks and cash in our CRM's Create consultation invoices when needed. Update appointment attendance in our CRM's. Schedule design meetings when instructed by an attorney. Maintain a daily count of walk-in clients. Record relevant updates in our CRM's including binders and drafts provided to clients. Assist attorneys, paralegals, and staff with additional duties as needed. Qualifications: • Has experience answering telephone calls and troubleshooting stressful situations • Must have graduated high school, received a G.E.D. or equivalent • 1 year of experience as a receptionist, administrative assistant, guest service specialist, or similar position preferred • Proficient computer skills and knowledge of Microsoft Office • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills Compensation: $20 hourly
