Position Summary

Your Water Matters is a whole-home water filtration & service company looking for an organized, personable Customer Service Representative to manage customer communications and keep our service schedule running smoothly. You'll answer inquiries, book and coordinate appointments, keep accurate records, collect payments, and work closely with the Customer Service Manager and field technicians to make sure every customer is taken care of from first contact through follow-up.

Responsibilities

• Answer customer inquiries by phone, email, text, and in person
• Schedule, confirm, reschedule, and cancel customer appointments
• Maintain accurate customer and appointment records
• Coordinate schedules with staff and ensure appointments are properly assigned
• Follow up with customers regarding appointments and service needs
• Resolve customer questions and concerns professionally and efficiently
• Provide accurate information about services, availability, and policies
• Make outbound calls to confirm appointments, follow up on service, and reach customers as needed
• Track and help control inventory
• Assist with general administrative and customer-service duties as needed

Required Skills & Qualifications

• Ability to multitask in a fast-paced environment
• Proficiency with Microsoft Outlook, Word, and Excel
• Dispatch or scheduling experience
• Knowledge of DFW geography (cities, major roadways, and service areas)
• Comfortable handling both inbound and outbound calls
• Strong conflict resolution skills
• Inventory control skills
• Clear, professional written and verbal communication
• Strong attention to detail and record keeping

Preferred Qualifications

• Prior customer service experience in a service, trade, or field-service business
• Experience with scheduling or dispatch software (Fieldwork HQ is a big plus)
• Bilingual (English/Spanish) (preferred but not required)

Working Conditions

• Office-based role with frequent phone, computer, and text customer interactions
• Standard business hours; occasional flexibility and early Friday closure (3:00pm if weekly targets are met)
