Job Summary

We're seeking a highly organized and customer-focused Service Coordinator to support our Generator Service team. This role is ideal for professionals with experience in service dispatching, field service coordination, logistics, equipment service management, or industrial customer support. The Service Coordinator plays a critical role in ensuring technicians are scheduled efficiently, customers receive exceptional service, and service projects move smoothly from quote to completion.

Essential Job Functions

Service Coordination & Dispatching

• Coordinate and schedule field service technicians to maximize efficiency and customer response times.
• Manage incoming service requests, emergency calls, preventative maintenance visits, and scheduled service work.
• Serve as the primary point of contact for customers regarding service inquiries, scheduling updates, and project status.
• Monitor technician schedules and make adjustments based on customer needs and business priorities.

Quoting & Project Support

• Prepare and submit service quotations for repairs, emergency service calls, and preventive maintenance agreements.
• Proactively follow up with customers on open quotations and pending service opportunities.
• Track work orders from initiation through completion to ensure timely execution and billing.

Operations and Administrative Support

• Review daily invoicing and monitor Work in Progress reports to ensure accurate and timely processing.
• Enter and maintain service data within company business programs.
• Coordinate closely with the Parts Department to ensure technicians have necessary parts and materials before scheduled service calls.
• Manage and schedule recurring preventative maintenance agreements.

Team Support

• Provide cross-functional support to other departments when needed.
• Assist with inventory, warehouse organization, shipping/receiving, and parts-related activities.
• Support warehouse operations, including loading/unloading shipments and preparing outgoing deliveries.
• Operate material handling equipment, including forklifts, when required and properly trained.

Required Knowledge, Skills and Abilities (including physical and work environment)

• Associate degree, or 2+ years of experience in service coordination, dispatching, logistics, customer service, field service administration, or related role.
• Strong organizational, communication, and multitasking skills.
• Proficiency in Microsoft Office (Outlook, Excel, World).
• Ability to learn new software and business operating systems quickly.
• Ability to work collaboratively across departments and support team objectives.
• Basic mechanical aptitude and ability to work in a fast-paced environment.

 

Preferred Qualifications (education, work experience, licenses/certifications)

• Experience supporting generator service, power systems, HVAC, construction equipment, diesel engines, industrial equipment, or other field service operations.
• Experience with technician dispatching, preventative maintenance scheduling, and service quotation preparation.
