Rebate Operations Coordinator

We are seeking a detail-oriented Rebate Operations Coordinator to support customer rebate processes, data maintenance, rebate calculations, and testing activities. This role is responsible for maintaining accurate customer information, validating rebate-related data, supporting manual rebate calculations, and ensuring rebate system outputs align with reporting requirements. The ideal candidate is highly organized, analytical, and comfortable working with large amounts of data while maintaining a high level of accuracy.

Address Management

• Update and maintain customer address records to ensure accurate rebate processing and payment delivery
• Validate customer information and support annual customer record reviews
• Verify and manage rebate check matching and hold processes for invoice-based rebate programs
• Track, monitor, and support the mailing of rebate checks
• Maintain accurate customer and rebate-related records

Rebate Processing

• Perform simplified manual rebate calculations for programs with straightforward discount and rebate structures
• Verify rebate calculations for completeness and accuracy
• Support rebate payment processes and tracking activities
• Assist with identifying and resolving rebate-related discrepancies

Rebate Engine Testing & Validation

• Support rebate engine testing initiatives by running reports and validating test results
• Compare rebate engine outputs to reporting and source data to ensure accuracy
• Analyze test results and identify discrepancies or inconsistencies
• Document findings and communicate issues to the appropriate teams
• Assist with process improvements related to rebate calculations and automation

Process Documentation & Operational Support

• Create and maintain clear, accurate, and up-to-date process documentation
• Support standardization of procedures and knowledge-sharing across the team
• Document workflows, best practices, and process updates
• Assist with operational reporting, tracking, and administrative activities as needed

• Experience performing data validation, reconciliations, or reporting activities
• Advanced Microsoft Excel skills
• Experience supporting testing, reporting, or system validation projects
• Background in accounting, finance, business operations, or customer support
