Billing & Workforce Coordinator

Austin Industrial is currently seeking an experienced Billing & Workforce Coordinator to support projects in the Orange, TX area. We are looking for a highly organized professional who enjoys supporting employees, coordinating onboarding activities, and assisting project teams with workforce and administrative functions.

The Billing & Workforce Coordinator supports project operations through employee onboarding, personnel administration, payroll coordination, workforce reporting, and field office management. This position serves as a key resource for employees and project leadership by helping ensure personnel are onboarded, supported, and ready to work while maintaining efficient office operations.

Essential Responsibilities:

• Coordinate employee onboarding, orientations, transfers, and workforce mobilization activities.
• Support pre-employment requirements, including drug testing, physicals, certifications, and site-specific credentials.
• Serve as a primary point of contact for employee questions regarding onboarding, payroll, benefits, and personnel processes.
• Provide administrative and workforce support to local and remote project locations.
• Coordinate payroll documentation and assist with timekeeping processes.
• Maintain personnel files, workforce reports, and project documentation.
• Support staffing efforts, workforce tracking, and employee record management.
• Assist with invoice processing, job cost documentation, owner billings, and project reporting.
• Maintain project filing systems and general office operations.
• Support safety, compliance, and project closeout activities.
• Perform other duties as assigned.

Qualifications:

Required:

• 3+ years of experience in workforce administration, onboarding, office administration, payroll support, human resources support, or project administration.
• Experience supporting employees in an industrial construction, maintenance, manufacturing, or similar environment.
• Proficiency with Microsoft Office, including Excel, Word, and Outlook.
• Strong organizational, communication, and multitasking skills.

Preferred:

• Experience supporting craft workforce onboarding and personnel administration.
• Knowledge of payroll systems and project accounting processes.
• Experience supporting multiple project locations or remote field operations.
