Senior Administrative Assistant The University of Texas MD Anderson Cancer Center is seeking a Senior Administrative Assistant to provide high-level administrative support within Perioperative Services, specifically in the Operating Room at the Northwest Surgery Center. The Senior Administrative Assistant plays a critical role in enabling efficient day-to-day operations by supporting executives and managers with complex scheduling, communications, and coordination activities in a fast-paced surgical environment. The Senior Administrative Assistant ensures that administrative workflows align with operational priorities and institutional standards that support patient care. Within Perioperative Services at the Northwest Surgery Center, multidisciplinary teams collaborate to deliver high-quality surgical care through precise coordination, compliance, and operational excellence, making the Senior Administrative Assistant an essential contributor to departmental success. The ideal candidate will bring strong administrative experience supporting leadership in a fast-paced environment, with demonstrated proficiency in systems such as Kronos, Outlook, Concur, and Excel, along with experience in meeting coordination, event planning, and detailed note-taking; candidates should possess excellent communication skills, strong organizational abilities, and the ability to manage competing priorities while maintaining professionalism and confidentiality. Minimum Salary $45,500.00 Midpoint $57,000 Maximum Salary $68,500.00 Responsibilities Perform administrative support for executives and managers including presentations, communications, and special projects Maintain departmental leave calendars, Outlook mail groups, employee lists, and conference room schedules Ensure compliance with institutional policies and funding restrictions Organize correspondence in priority order and maintain documentation with discretion Coordinate projects with internal and external stakeholders from initiation through completion Manage equipment requests including pagers, iPhones, and related tools Support service excellence by identifying and resolving stakeholder needs Apply confidentiality and security standards consistently Serve as departmental purchaser and maintain par levels for office supplies and catering Process purchases using the Resource One system and coordinate shipments Coordinate travel arrangements for executives, staff, consultants, and guests Prepare and reconcile expense reports accurately and timely Maintain employee personnel files and compliance records according to institutional and Joint Commission standards Act as Kronos timekeeper to ensure accurate timekeeping processes Assist with HR-related activities and interpret institutional policies for staff Coordinate event planning, meeting logistics, and recognition activities Manage complex Outlook calendars aligned with leadership priorities Take detailed meeting minutes and maintain accurate documentation Perform additional duties as assigned to support departmental operations Education Required: High School Diploma or Equivalent Preferred: Associate's Degree or Preferred: Bachelor's Degree Work Experience Required: 5 years Administrative/secretarial experience. or Required: 3 years Required experience with Associate's degree. or Required: 1 year Required experience with Bachelor's degree. Other Requirements: Must pass pre-employment skills test as required and administered by Human Resources.
