Materials Processing Specialist Job No: 560449 Work Type: Staff Location: Pomona Categories: Unit 9 - CSUEU - Technical Support Services,Temporary, Part Time, Library Type of Appointment: Part-time (16 hours perweek), Long-Term Temporary (18 month appointment) Job Classification: Library Services SpecialistIII Anticipated Hiring Range: $1,712 per month (Basedon the full-time monthly rate of $4,162) Work Schedule: Tuesday and Wednesday, 8am - 5pm,days and hours vary based on operational need Other: Priority consideration will be given tointernal candidates THE DEPARTMENT: Collections, Acquisitions, and Resource Discovery Services (CARDS)is the backstage hub of the University Library responsible for theacquisition, access, maintenance, preservation, and discoverabilityof all the Library's print and electronic collections in support ofthe campus community's information, teaching, and research needs.The CARDS Unit comprises of three distinguishable subunits:Electronic Resources Management; Acquisitions and Materials; andMetadata Management. Collectively, the CARDS Unit engages in thefollowing responsibilities: Catalog maintenance; bibliographicdescription; subject analysis; collection management anddevelopment; purchasing, receiving, processing, reviewing,troubleshooting, maintaining, repairing, and researching physicaland electronic materials in all formats; donation processing;statistics gathering, reporting, analysis, and visualization. TheCARDS unit also houses the Repair, Processing, and ItemsRestoration Lab (REPAIR Lab), the Library's Signature PolytechnicExperience (PolyX) program. DUTIES AND RESPONSIBILITIES: Using thorough knowledge of and ability to interpret technicalservices policies and procedures, incumbent will: assist in CARDStasks according to changing workflows and departmental prioritieswith emphasis on Acquisitions and Materials (A&M) subunit tasksincluding physical receiving, repair, and processing; physicalinventory and maintenance; and other Acquisitions and Materialsprojects; may also assist with copy cataloging. Incumbent maintainsparticular focus on the Carleton F. Burke Memorial Collection. Working under the general direction and guidance of theAcquisitions, Materials Management, and Student Coordinator andHead of CARDS, handle assessment and evaluation of condition ofdonated and purchased materials; create customized damageremediation task lists; and work in the Repair, Processing, andItems Restoration Lab (REPAIR Lab) to perform all variations ofmonographic, multimedia, and physical serials/periodicals resourcesrepair and end-processing tasks, including assorted label creationor modification and printing, barcoding, and applying appropriatesecurity and property identifiers. Using thorough knowledge of CARDS policies and procedures andstrong written and verbal communication skills, work closely withthe Acquisitions, Materials Management, and Student Coordinator andHead of CARDS to draft operational procedures as needed related tophysical materials receiving, processing, damage remediation, andrepair; recommend and train students and staff in best practices toensure quality control of all aspects of physical materialworkflows with particular focus on the Carleton F. Burke MemorialCollection. May be responsible for coordinating work of studentassistants assigned to REPAIR Lab and the Carleton F. BurkeMemorial Collection work area. Using thorough knowledge of CARDS policies and procedures, uponreceiving library physical materials, verify accuracy of materialsin-hand against bibliographic and holdings records; troubleshootitem record inconsistencies; perform duplicate or overlap titlechecks prior to accession to assist with and participate in catalogcleanup and collection maintenance of physical monographs, serialsand periodicals. Using working knowledge of library collection andclassification schemes, perform copy cataloging for physicalmonographs, serials, and periodicals bibliographic records importedinto Alma and the Library's catalog. Assist with managing physicalmonographs and serials/periodicals including creating, editing,maintaining, and updating holding records in OCLC. Using expertise in most aspects of the library's catalogsystems, troubleshoot and problem-solve issues related tobibliographic records, control, and access in consultation with theAcquisitions, Materials Management, and Student Coordinator,Resource Management Coordinator, and Head of CARDS. Assist with short- and long-term projects for physicalmaterials, in particular those involving collection maintenance andlibrary display management of the Carleton F. Burke MemorialCollection. Using thorough knowledge of CARDS policies and procedures,resolve physical materials-related problems that arise. Reportproblems to the Acquisitions, Materials Management, and StudentCoordinator and collaborate on resolution as needed. Consult with and coordinate with the Acquisitions, MaterialsManagement, and Student Coordinator on reviewing, receiving, andprocessing monographic donations; communicate and meet with donorsas necessary. Using comprehensive and in-depth knowledge of CARDS policiesand procedures and their relationship to other units, performprocessing of physical items transferring to Special Collectionsand Archives per their archival processing standards includingbarcoded flags and pen-calling. Assist in assessing, collecting, and formulating REPAIR Labsupply requests for review by Acquisitions, Materials Management,and Student Coordinator. Maintain current knowledge of evolving trends and bestpractices as they relate to technical services by participating inparaprofessional organizations, meetings, reading e-mail listdiscussions, attending workshops, and activities. Attend team, department, and library staff meetings andprofessional development activities as assigned or required to meetdepartmental goals and objectives. Keep abreast of new informationand/or developments in cataloging, book processing, ordering andreceiving, and policies concerning student assistants throughmeetings and workshops. Perform other technical services duties as assigned. QUALIFICATIONS: Bachelor's Degree - Equivalent to a bachelor's degree from anaccredited college or university. Degree in Library Science,Information Science, History, Archives, Humanities, or relatedfield preferred. Equivalent combinations of education andexperience that provide the required knowledge and abilities willbe considered. Three to five years of progressively responsible experience inlibrary technical services, acquisitions, cataloging, materialsprocessing, preservation, or related library operations in anacademic, research, or special collections environment Thorough knowledge of and ability to interpret overall librarypolicies and procedures and an indepth knowledge of libraryoperations, policies and procedures pertaining to assignedfunctional area, including a solid understanding of individual workfunctions and the ability to adapt work procedures. Working knowledge of library collection and its organization,as well as classification schemes. Demonstrated expertise in creating and correcting bibliographicrecords. Thorough knowledge of external on-line databases, system andresources, including the ability to perform complex on-linesearches. Thorough knowledge of institution's and library's policies andpractices associated with the ethical use of and access to libraryand on-line resources. Working knowledge of national standards pertaining to libraryoperations, including a thorough knowledge of institutionalstandards pertaining to copyright and intellectual propertyprotection and the ability to interpret and apply them, as well asexplain them to patrons, to ensure compliance. Demonstrated expertise in using library automated system(s),especially subsystem(s) pertaining to the functional area,including database maintenance. Ability to investigate and research more complex problems,including analyzing and interpreting information. Working knowledge of library accounting and budget proceduresand allocation processes, and ability to apply this knowledge toassist in handling vendor accounts and the budget process. Strong written and verbal communication skills to be able toprepare internal library reports and written and visualpresentations on library resources and present them to librarypatrons, including students. Strong communication and interpretive skills to be able tointerview patrons regarding their information needs and guide themin the use of more complex library and on-line resources. Thorough knowledge of all aspects of lead work directionincluding assisting in employee selection, training employees innew work procedures, assigning work, organizing work flow andestablishing priorities, reviewing work, providing input toperformance evaluations and promoting teamwork to optimizeeffectiveness. Working knowledge of campus human resource practices andpayroll procedures. Strong organizational skills to oversee and lead work flow inassigned area.
