Staff Accountant

The Staff Accountant is responsible for supporting the organization's day-to-day accounting operations, financial reporting, grant accounting, and compliance processes. This position requires a solid understanding of basic GAAP principles, strong attention to detail, and the ability to research accounting questions, identify issues, and understand how individual transactions impact overall financial reporting. The Staff Accountant will maintain accurate accounting records, prepare reconciliations and journal entries, support monthly financial reporting, assist with grant and contract compliance, and coordinate audit documentation. This role works closely with the CEO and Fractional Chief Financial Officer (CFO), who provides financial oversight and review of accounting activities.

Responsibilities:

• General Accounting & Month-End Close
• Prepare monthly balance sheet reconciliations and investigate discrepancies.
• Prepare and record accruals, journal entries, and other month-end adjustments.
• Prepare bi-weekly payroll journal entries and reconcile payroll-related accounts.
• Prepare monthly invoicing and ensure transactions are recorded accurately.
• Maintain complete and organized supporting documentation for accounting activity.
• Assist with month-end close procedures and ensure deadlines are met.

• Financial Reporting Support
• Assist with preparation of monthly financial reports and dashboards.
• Review financial activity for accuracy, completeness, and unusual variances.
• Provide supporting schedules and information for management review.
• Work with the Fractional CFO to resolve accounting questions and improve reporting processes.

• Grant & Contract Accounting
• Maintain grant tracking schedules, including revenue, expenses, allocations, and reporting requirements.
• Monitor grant expenditures to ensure compliance with grant agreements and restrictions.
• Maintain contract and grant budgets in coordination with the CFO.
• Assist with preparation of grant-related financial reports and documentation.

• Accounts Payable & Accounts Receivable Oversight
• Review Accounts Payable and Accounts Receivable aging reports.
• Follow up on outstanding items and assist in resolving discrepancies.
• Ensure transactions are properly documented, approved, and recorded.

• Audit & Compliance Support
• Maintain a rolling annual audit file, including: New contracts Grant agreements and award letters Bank reconciliations Credit card reconciliations Other financial supporting documentation Coordinate documentation requests for annual audits and state/federal audits. Work with the Fractional CFO to prepare audit support schedules and responses. Maintain records to support compliance requirements.

• Accounting Systems & Internal Controls
• Maintain accounting records and processes within QuickBooks. Serve as PNC administrator and support banking processes. Ensure internal controls are followed, including appropriate approvals and documentation. Identify opportunities to improve accounting processes and efficiencies. Research accounting questions and apply appropriate GAAP guidance with CFO support.

Requirements:

• Experience with reconciliations, journal entries, payroll accounting, and financial reporting.
• Knowledge of GAAP and accrual-based accounting.
• Bachelor's degree in Accounting, Finance, or related field preferred.

Pay Range: $65,000 - $75,000 per year
