Pediatric Fellowship Program Administrator

This position manages and oversees the administrative support functions for an independent pediatric fellowship program and divisions within the Department of Pediatrics. This position provides direction, leadership and day-to-day management of program including support of fellowship Program Director, Associate Program Director, and three+ pediatric fellows. Position provides educational coordination between attending physicians, fellows and institutional and regulatory administrative offices (i.e., Graduate Medical Education Office-GME, MCG Dean's Office, etc.). Position also performs planning and budgeting, provides oversight to selection of program participants, and monitors participant progress. Acts for and makes independent decisions in absence of program director within prescribed limits of authority. Duties are performed under the supervision of assigned Division Chief, Program Directors and Sr. Administrator for the Department of Pediatrics.
The responsibilities include, but are not limited to: managing the development, planning, and coordination of fellowship program within the Department of Pediatrics; assisting with day-to-day operations of fellowship program; serving as a liaison between and communicating with all appropriate campus offices, department program director and staff; attending required meetings conducted by AU GME office, pediatric fellowship program director and department fellowship coordinators; monitoring duty hours and tracking leave time in appropriate system; distributing send outs for fellow evaluations to fellows, faculty, nurses and clinical staff; registering fellows for yearly in-training exam; assisting with implementing policies related to the AU Graduate Medical Education (GME) Office and American College of Graduate Medical Education (ACGME); developing, organizing, and directing recruitment activities such as using knowledge of ERAS software to manage fellowship applications and compiling reports as necessary; reviewing fellowship applications and evaluating completeness; assisting with screening applicants appropriate for interview; notifying applicants of decisions for interview; coordinating faculty/fellows/staff interviews and notifying applicants; administering and managing implementation of all rules, regulations, and prescripts regulating educational programs; reviewing participant requirements such as credentialing, licensure, FMG, and visa; submitting required paperwork on new fellows to GME office; setting up training grants, if necessary; fully processing fellows through divisions which includes but is not limited to scheduling division orientation, ordering keys and lab coats, providing all necessary documentation/manuals, etc.; ensuring fellow compliance with established policies and procedures; ensuring program accreditation with regard to compliance of potential participants with the criteria of corresponding organizations such as American College of Graduate Medical Education (ACGME), Residency Review Committee (RRC), Graduate Medical Education (GME), and Joint Commission (HIPAA requirements); continuously reviewing, maintaining and updating documents for Fellowship Program site visits performed by ACGME; maintaining all house staff personnel records including confidential evaluation and counseling records; serving as administrative support for Fellowship Program Director which includes but is not limited to scheduling meetings, preparing agendas, recording and maintaining meeting minutes, completing travel forms for fellowship-related meetings, developing reports and providing pertinent data to Program Director and faculty, preparing written reports and correspondence for the Program Director relative to fellowship program, developing, coordinating and planning annual educational program participant orientation, graduation, and extracurricular activities/wellness functions for fellowship program; maintaining up-to-date knowledge of ACGME policies and procedures with understanding of common and specialty program requirements; preparing check requests and IDRs as needed; preparing fellowship verification forms for current fellows and alumni; providing administrative support for fellows; entering on-call schedule into QGenda system for each month and/or rotation; tracking and summarizing reports related to procedures, labs and workshops; maintaining web based ACGME accreditation surveys for program; initiating, overseeing and monitoring house staff budget, including projections of future needs and reconciling all accounts on a monthly basis; compiling and submitting reports to ACGME, American Board of Pediatrics (APB), American Academy of Pediatrics (AAP), American Association of Medical Colleges (AAMC), American Medical Association (AMA), and other professional organizations as required; managing evaluation system to include participant evaluation and grade reporting; monitoring and counseling program participants when needed; overseeing administration of educational exams; maintaining informational database system for various reporting purposes and curriculum inventory; providing administrative and clerical support for fellowship program and divisions within the Department of Pediatrics; answering phones, triaging calls, and greeting visitors to area; scheduling outpatient consultations for division, including attending and fellow; providing back-up administrative support for other staff members within department as needed; ordering and maintaining office supplies; developing, evaluating, and implementing office procedures; maintaining budget for division, faculty and nurse practitioners including, but not limited to: ordering office supplies, reimbursement for books and educational activities, travel to educational conferences; maintaining financial information on state and sponsored accounts and grants; reconciling PeopleSoft ledger reports on a monthly basis; preparing forms/documents used for AU Support Services (grants/contracts, budgets and routing sheets, IDRs, check requests, etc.); preparing other reports and forms required by department administration and submit in a timely manner; entering faculty service and on call schedule into QGenda system for each month; serving as administrative support for faculty and APPs which includes but is not limited to scheduling division and individual meetings, preparing agendas, recording and maintaining meeting minutes, completing travel forms for fellow related meetings; providing backup support for other Pediatric Residency Program and other fellowship programs within the Department of Pediatrics; performing all other duties as assigned.
Associate's degree from an accredited college or university in a related field with two years of directly related experience in an educational program. OR High School Diploma/GED from a recognized State or Federal accrediting organization with five years of directly related experience in an educational program.
Proficient in Microsoft Office and other computer software/databases. Detail-oriented with excellent interpersonal, written, and verbal communication skills. Ability to maintain confidentiality.
Shift: Days/M-F, 8:00 a.m. - 5:00 p.m. Pay Band: B5 Salary Range: $17.88/hourly - $21.92/hourly Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
