We're seeking an organized and customer-focused Administrative Support Specialist to support our Preventive Maintenance team. In this role, you'll coordinate service contracts, prepare customer proposals, process orders, and help ensure customers receive the ongoing support they need to keep their equipment operating at peak performance.

This is an excellent opportunity for someone who enjoys working behind the scenes to keep projects organized while building strong customer relationships

Hours : Monday – Friday 8:00 am to 5:00 pm

Pay: $22.00 - $27.00/HR.

Position: Full-time, Onsite

Duties and Responsibilities:

• Prepare and process preventive maintenance and software service contract proposals
• Process customer orders accurately and coordinate with internal teams and vendors
• Track contract renewals and help promote maintenance programs to existing customers
• Contact customers following preventive maintenance visits to gather feedback and document results
• Maintain accurate customer records and update internal management systems
• Coordinate virtual customer meetings when needed
• Support the Proactive Services team with administrative and operational tasks
• Work closely with internal departments to ensure contracts and orders are completed accurately and on time

Requirements and Qualifications:

• High school diploma or GED required; associate degree is a plus
• 2+ years of administrative, customer service, service coordination, or office support experience required
• Strong Microsoft Office skills, particularly Excel, Outlook, and Word
• Excellent communication and customer service skills
• Strong organizational skills with exceptional attention to detail
• Ability to manage multiple priorities and deadlines in a fast-paced environment
• Self-motivated with the ability to work independently
• Manufacturing, industrial, or equipment service experience is a plus
• Italian or Spanish language skills are a plus, but not required
