Aligned with our Mission and Core Values, we are steadfast in our commitment to providing a safe, inclusive, and academically excellent school culture—one where students are inspired to lead lives of purpose, empathy, and integrity.Position Summary:The Admissions Officer is a 12-month position and serves as a key ambassador for Albany Academy, guiding prospective families through the admissions process with professionalism, warmth, and exceptional customer service. This role is responsible for building meaningful relationships with prospective students and families, coordinating admissions activities, and ensuring a seamless and welcoming experience from initial inquiry through enrollment. The ideal candidate is highly organized, proactive, adaptable, and an effective communicator who understands the importance of each interaction in supporting the school's enrollment goals and strengthening the Albany Academy community.As with all members of the Albany Academy community, the Admissions Officer is expected to contribute to the broader life of the school by participating in school events, traditions, and activities, and by supporting a culture of engagement, collaboration, and belonging.Essential Responsibilities:Admissions & EnrollmentServe as the primary point of contact for prospective families, providing timely, knowledgeable, and personalized guidance throughout the admissions process.Build and maintain positive relationships with prospective students, parents, educational consultants, and community partners.Conduct admissions interviews and assess prospective students and families for mission alignment and school fit.Manage applicant files and ensure all admissions documentation is complete, accurate, and processed in a timely manner.Coordinate applicant communications, including inquiries, follow-up correspondence, admissions decisions, and enrollment materials.Maintain accurate applicant records and data within the school's enrollment management system.Collaborate with the Director of Admissions to achieve annual enrollment objectives and retention goals.Administer and proctor MAPS Entrance Exams for the Middle and Upper SchoolRecruitment & Community EngagementRepresent Albany Academy at admissions events, school fairs, community programs, and recruitment activities.Plan and coordinate admissions events, including Open Houses, Information Sessions, Revisit Days, shadow visits, and campus tours.Conduct engaging campus tours that showcase the Academy's mission, programs, and student experience.Build relationships with feeder schools, community organizations, and educational professionals to expand enrollment opportunities.Assist in developing strategies to increase enrollment across all divisions.Communication & Customer ServiceProvide exceptional customer service to prospective and current families through phone, email, and in-person interactions.Respond promptly to inquiries while maintaining confidentiality and professionalism.Partner with faculty, staff, coaches, and administrators to coordinate applicant visits and admissions programming.Serve as a positive ambassador for Albany Academy by communicating the school's mission, values, and distinctive educational experience.Administrative ResponsibilitiesMaintain admissions calendars, event schedules, and applicant timelines.Prepare reports, enrollment statistics, and admissions data as requested.Assist with marketing and admissions communications in collaboration with the Marketing & Communications Office.Support enrollment contracts and new family onboarding processes.Perform other duties as assigned to support the Admissions Office and enrollment initiatives.Qualifications:RequiredBachelor's degree required.Three or more years of experience in admissions, enrollment management, sales, customer service, education, or a related field.Outstanding interpersonal, communication, and relationship-building skills.Excellent organizational skills with strong attention to detail.Ability to manage multiple priorities while meeting deadlines.Strong presentation and public speaking skills.Ability to work occasional evenings and weekends to support admissions events.PreferredExperience in independent school admissions or enrollment management.Familiarity with enrollment management systems including Blackbaud, Finalsite and ClarityKnowledge of independent school education and the admissions process.Previous experience with SEVIS and international student enrollmentKnowledge, Skills, and Abilities:The successful candidate will demonstrate:A passion for independent school education and student success.Exceptional customer service and hospitality skills.Professional judgment, discretion, and confidentiality.Initiative, flexibility, and a collaborative approach to problem-solving.Strong organizational and project management abilities.The ability to communicate effectively with individuals from diverse backgrounds.A positive attitude, resilience, and a solutions-oriented mindset.Commitment to Albany Academy's mission, values, and inclusive community.Physical RequirementsAbility to sit, stand, walk, and move throughout campus for extended periods.Ability to conduct campus tours and participate in admissions events.Ability to occasionally lift and carry materials weighing up to 25 pounds.Ability to travel locally for recruitment events as needed.Work EnvironmentThis position is performed primarily in an office and school environment with frequent interaction with students, families, faculty, and visitors.
