Primary Purpose

Responsible for maintaining student academic records at the campus level under minimal supervision. Process student enrollment, transfers, and withdrawals for the campus

Qualifications

Education/Certification

• High School Diploma or GED

Experience:

1-3 years of secretarial experience, preferably in public education environment; or 15 semester hours of college credit with some business orientation or equivalent business school background

• Proficient word processing and file maintenance skills
• Effective organizational, communication, and interpersonal skills
• Ability to use personal computer and software to develop spreadsheets, databases, and do word processing

Essential Functions:
Develops and implements comprehensive student records systems as appropriate
Coordinates student records management
Field inquiries received in person, via telephone, or email by providing information to basic questions
Provide general clerical support including word processing, creating spreadsheets, and filing

Major Responsibilities and Duties :

1. Answer phone calls in a pleasant, informed manner for the purpose of providing accurate and consistent information and creating a positive image of the campus and district.
2. Greet visitors to the school in a pleasant and informed manner.
3. Forward requests for information and messages to the appropriate individuals.
4. Coordinate grade reporting process, including verification and correction of grades and preparation and distribution of report cards.
5. Assist with honor roll preparation.
6. Assist counselors with the enrollment, withdrawals, and transfer of students.
7. Assist campus administration and counselors with the preparation of reports and student data information.
8. Compile, maintain, and file all reports, records and other documents as required.
9. Maintain confidentiality.
10. Perform other clerical tasks as assigned including word processing, and entering requisitions
11. Be a team player and willing to wear many hats
12. Perform other duties and responsibilities as assigned by supervisor.

Other

1. Sort, distribute, and deliver mail and other documents.
2. Monitor 2-way radio base unit for campus administration and staff.
3. Maintain confidentiality of students, parents and staff.
4. Determine priorities and maintain efficient office operations to ensure a timely accomplishment of tasks.
5. Answer questions that require a detailed knowledge of school procedures.
6. Perform other related tasks assigned by the principal.
