Administrative Assistant

Performs a variety of administrative and clerical duties. Prepares and processes forms, documents and correspondence. Routinely performs tasks such as data entry, word processing, database management, spreadsheet, presentation graphics, e-mail and scheduling. Answers telephones and routes calls appropriately.

Essential Functions

• Maintains the appointment schedule. Sends appointment reminders to patients.
• Answers and responds to incoming phone calls. Directs all callers to the appropriate extension. Relays messages in a timely manner. Receives and directs patients, visitors and other parties requiring information.
• Receives, screens and processes incoming correspondence and medical records. Forwards to appropriate person or department. Composes responses to general and routine correspondence.
• Creates and maintains patient charts. Obtains orders and processes forms and lab work. Receives, distributes and/or files result reports and transcriptions.
• Submits daily charges and reconciles daily charge proofs. Audits the charges for accuracy and completeness.
• Maintains departmental office equipment. Maintains and orders departmental supplies.
• Attends meetings as requested. Take sand distributes minutes.
• Performs other duties as assigned.

Supervisory/Management Responsibilities

• This is a non-management job that will report to a supervisor, manager, director or executive.

Minimum Requirements

• Education - High school diploma or equivalent
• Experience - No experience required

Knowledge, Skills and Abilities

• Basic computer skills including word processing, spreadsheets, databases and data entry
• Knowledge of office equipment (fax/copier)
• Mathematical skills
• Medical office experience preferred
• Familiarity with medical terminology preferred
