Inventory and Parts Coordinator

The Inventory and Parts Coordinator supports a busy maintenance department by managing parts inventory, coordinating with vendors, and assisting with day-to-day operational needs. This role combines clerical and ordering responsibilities with hands-on work in the shop and storage areas, including component verification, organizing parts, and supporting technicians during repairs. The position is ideal for someone with a mechanical background who wants to grow into a maintenance career and gain exposure to automation equipment and lockout/tagout procedures.

Responsibilities:

• Receive lockout/tagout training and participate in equipment reviews to verify installed components against on-hand stock and identify parts that need to be ordered or added to inventory.
• Work directly with department staff and assist with daily tasks, especially when manpower is limited, to ensure smooth department operations.
• Attend to parts management in the shop and mezzanine storage areas, including organizing, labeling, and maintaining accurate locations and counts of parts.
• Work closely with the department manager, providing regular updates and support on inventory levels, orders, and parts availability.
• Track orders and delivery times, communicate status updates via email, and provide direct reporting to the manager to ensure timely follow-up on critical parts.
• Lift and move heavy objects weighing 50+ pounds, using available assistance or equipment for items too heavy for one person.
• Access tight spaces as needed to obtain part numbers and verify components on equipment and in storage.
• Order parts from multiple vendors using a purchase order (PO) system and ensure accurate documentation for each transaction.
• Communicate regularly via email and use Microsoft Office applications to manage orders, budgets, and documentation.
• Maintain organized packing slips and ensure they are submitted to accounting by the end of each month.
• Track and monitor department budgets using Excel, including recording purchases and assisting with cost control.
• Communicate directly with vendors, describe issues and needs clearly, and participate in walk-arounds to support troubleshooting and parts identification.
• Follow instructions accurately while also taking initiative and working with minimal follow-up when appropriate.
• Maintain a broad, department-level perspective (macro view) to anticipate needs and support continuous improvement in parts and inventory processes.
• Assist technicians by locating and supplying parts during repairs to minimize equipment downtime.
• Organize the mezzanine storage area for future use, including setting up systems for efficient storage, retrieval, and cycle counting of parts.
• Perform cycle counts and component verification to maintain accurate inventory records and support reliable stock levels.
• Support miscellaneous projects as assigned, meeting manageable deadlines and adapting to changing priorities.
• Balance responsibilities with approximately 65% of time spent on ordering, clerical work, and vendor coordination, and about 35% on cleaning, organizing, component verification, and cycle counts.
• Train on the operation of automation equipment to gain familiarity with lockout/tagout procedures and better understand the parts and systems being supported.
• Stand for extended periods while performing shop, inventory, and organizing tasks.
• Work in varying temperature conditions, including hot and cold environments, as required by shop and storage areas.

Essential Skills:

• At least 2+ years of manufacturing experience, preferably in production or parts-related roles.
• Mechanical aptitude, including experience with hand and power tools and basic mechanical knowledge.
• Ability to lift and safely handle objects weighing 50+ pounds, with assistance available for heavier items.
• Comfort working in tight spaces to access parts, equipment, and component information.
• Experience using a purchase order (PO) system to order from multiple vendors.
• Proficiency with email communication and Microsoft Office applications, particularly Excel for budget tracking.
• Strong organizational skills to manage inventory, packing slips, and storage areas effectively.
• Ability to stand for long periods while performing job duties.
• Ability to work in both hot and cold weather conditions as required by the facility.
• Capability to follow instructions accurately while also working independently with minimal supervision.
• Effective verbal and written communication skills for interaction with staff, management, and vendors.

Work Environment:

This role follows an 8-hour workday schedule, typically from 8:00 a.m. to 4:30 p.m., Monday through Friday, with occasional Saturdays and overtime as needed. Work takes place in a manufacturing and shop environment that includes a parts mezzanine and areas with automation equipment. The position requires frequent standing, walking, and moving throughout the facility, including working in tight spaces and climbing or accessing elevated storage areas. You will work in both hot and cold conditions depending on the season and the specific area of the facility. The role involves handling and lifting heavy objects, with equipment and team support available for larger items. You will use computers with Microsoft Office, email systems, and a purchase order platform, as well as become certified through internal testing to operate boom lifts, forklifts, and scissor lifts. The environment emphasizes safety practices, organized storage, and efficient workflow to support the maintenance and production teams.

Job Type & Location:

This is a Contract to Hire position based out of San Antonio, TX.

Pay and Benefits:

The pay range for this position is $19.25 - $21.50/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
