Material Handling Specialist

Supports a high level of workforce productivity through the planning, scheduling, and coordination of manpower, spare parts, other materials, and equipment access for all plan-able maintenance work in the facility. This role is the liaison between Operations and Maintenance for planning and scheduling purposes. Maintains and ensures accurate data in the computerized maintenance management system and assists the Maintenance Supervisor with scheduling and procurement related to maintenance activities and outage support. Responsibilities WEX and Clean Energy: Review invoices each month, separate from ordering. E-ZPass. Manage contractors’ Service Agreements and Certificates of Insurance (COIs) for new third-party vendors, ensuring documentation is filed correctly in M+. Maintain vendors in GP. Handle invoice disputes and maintain compliance with vendor agreements. Oversee janitorial services for Chesapeake and Newport News locations, including supply inventory management. Payroll backup. Inventory. Maintain the employee database in M+. Match checks to invoices and file documentation. Complete various Excel reports currently completed by the Accountant. Knowledge and Equipment Acquire a thorough knowledge of the company’s computerized maintenance management system. Knowledge of tools and supplies needed for each different type of machine. Knowledge to estimate the cost of labor and parts. Above-average knowledge of Microsoft Office software, including Excel, Outlook, and Word. Use a barcode scanner. Safely operate a forklift. Use step ladders and pallet jacks. Use basic office machines. Skills and Abilities Proficiency with MS Office, including Outlook, Excel, and Word. Active listening, giving full attention to what other people are saying, understanding, and asking appropriate questions. Coordination of multiple inputs and events, and the ability to work under deadlines regularly. Communicates clearly and concisely both verbally and in writing, as well as throughtwo-way radio, or face-to-face. Ability to read and understand schematics and technical drawings. Ability to anticipate typical problems, identify potential or recurring problems, and take appropriate action. Ability to work in adverse conditions, including cold, heat, and dirty environments. Essential Duties and Responsibilities Plans and schedules work orders, including estimating work hours, detailed analysis, troubleshooting, and planning of the tasks to complete work orders, requisitioning materials and contractor services required, and scheduling the work. Assists in administering outside contractor work. Schedules work by priority and criticality without specific guidance at each decision point. Enforces safety regulations and concerns and established Safety Hazard Analyses. Confers with Maintenance and Operations Supervisors to coordinate activities of individual departments. Defines, tracks, and reports on maintenance backlog on a regular, ongoing basis. Performs research as required to address all work order needs, including research of vendor manuals, vendor contacts, internet sources, and the expertise of coworkers. Prepares all requisitions required to support the Maintenance Department. Works with the Purchasing Agent to ensure accurate purchases and creation of Purchase Orders (POs). Assists the Maintenance Manager and Leads in analysis of historical equipment failure and repair data, cost trends, budgetary performance, and other reports as requested. Operates other equipment including, but not limited to, industrial forklifts, manlifts, skid-steer-type loaders, and other mobile equipment. Maintains weekly and monthly reports and records up to date and ready for inspections by the Department of Environmental Quality (DEQ) and Storm Water Pollution and Prevention Program (SWPPP).
