Joseph J. Peters Institute (JJPI) is a leading specialized provider of trauma treatment services and forensic behavioral health services in the Philadelphia region. JJPI serves children, adolescents, and adult survivors of trauma; adolescents and adults with a history of problem sexual behavior; and adults with a history of relational violence. JJPI provides evidence-based and evidence-informed assessment and treatment to child, adolescent, and adult survivors of sexual, interpersonal, and other forms of trauma at our Broad Street location and individuals with sexual behavior problems and/or relational violence histories at our Chestnut Street location.
The Coordinator of Survivor Services provides clinical and administrative leadership for JJPI's Survivor Services program, which serves around 1,200 clients per year. The Coordinator directs a multidisciplinary team of professionals delivering evidence-based practices to aid child, adolescent, and adult survivors of traumatic experiences to recover and heal. This position works intensively in the realm of trauma treatment and in evidence-based practices specific to trauma, including TF-CBT, PE, and DBT. The position reports to the Director of Survivor and Community-Based Services (DSCBS).
Responsibilities include:
- Provide overall direction & oversight of outpatient treatment programs at JJPI's Survivor Services Program under the supervision of the DSCBS.
- Provide weekly group administrative/clinical supervision to Survivor Services outpatient treatment clinical staff.
- Supervise the Survivor Services Clinical Supervisor/Senior Clinician.
- Supervise JJPI's full-time employees who serve as clinicians/therapists.
- Serve as the point person for JJPI fee-for-service independent contractor clinicians.
- In concert with other supervisors/managers, provide oversight of graduate students who provide outpatient treatment services. Provide direct observation of students' and clinicians' treatment, including, as appropriate, the use of audio or video samples of sessions.
- Provide and document regular individual and group administrative/clinical supervision/consultation to individual Survivor Services clinicians, including contracted clinicians.
- Assist clinicians in issues pertaining to emergency and complicated case situations.
- Promote an atmosphere of support and constructive feedback to enhance staff professional growth consistent with JJPI's organizational values.
- Carry out supervisory responsibilities in accordance with the organization's policies and applicable guidelines.
- Serve in a leadership capacity in the development of a cohesive, supportive, and productive clinical team devoted to the delivery of the highest quality clinical services.
- Seek to meet 100% of Survivor Services outpatient treatment productivity standards and goals.
- Ensure Survivor Services clinical records meet agency, stakeholder, and licensing requirements in collaboration with the DSCBS.
- For clinicians for whom the Coordinator is assigned as the supervisor or point person, review and sign discharge summaries.
- Provide training and consultation services to outside agencies upon request.
- Provide on-call emergency case management coverage for a week at a time on a rotating basis with other management staff about every eight weeks.
- Provide evening supervisory coverage at the clinic one evening per week.
- Maintain a small caseload of participants as allowed by available hours. Ensure the following guidelines are met for caseload participants:
- Complete an Initial Resiliency/Treatment Plan Review within the first two visits of client contact.
- Complete updated Resiliency/Treatment Plans every 180 days or earlier if clinically indicated.
- Complete progress notes within 24 hours of each session with the client.
- Follow up appropriately with clients and/or caregivers who have missed a session.
- Complete a discharge summary within seven days of the termination date.
- Complete and provide statistical reports (case management and clinical hours) at the end of each week/pay period.
- Complete all forms required for billing of services in a timely manner.
- Identify and track appropriate quality improvement areas on a monthly basis.
Administrative & Organizational Responsibilities include:
- Work closely with intake and evaluation staff and supervisors and with the case management department to ensure timely assignment of cases to clinicians. Follow up with case management when the clinic has a waiting list to provide updates to individuals who have completed intakes but are not yet assigned to a clinician.
- With the DSCBS, post open positions and interview, hire, and orient new clinicians. Monitor the need for staff in a proactive way and take steps to make sure that sufficient clinicians are hired.
- Monitor the flow of new participants and ensure that required case closing paperwork is completed for participants no longer receiving services.
- Provide leadership and oversight over JJPI's student intern clinical training program, which trains up to 10 clinicians per year. Oversee the interview process for applicants, support orientation, provide ongoing supervision, and help to oversee JJPI's didactic training series.
- Monitor and provide supervision for all clinicians to make sure that they are following procedures for required paperwork, participant follow-up and contact, etc. Formally evaluate staff performance against established criteria to clarify/document performance expectations, strengths, and developmental needs, recommend activities for improvement, and exercise progressive discipline when necessary.
- Understand the impact of caseload requirements on the financial performance of the agency and uphold utilization expectations within the program.
- Monitor clinician caseloads and ensure productivity targets are consistently met. Follow up with clinicians to ensure that appropriate action is taken when variance from required utilization or other procedures are not being followed.
- Understand the payment source of each client as evidenced by making sure staff are obtaining and documenting information needed to bill the responsible party.
- Develop and implement new, innovative service strategies.
- Develop and maintain professional relationships with other agencies and with PHMC programs and affiliates. Consult and coordinate with other organizations, government entities, and professionals to positively influence policy and practices in the assessment and treatment of trauma survivors.
- Participate in scheduled management and supervisor meetings.
- Consult with executive team members concerning agency direction, strategic planning, program implementation, and service delivery.
- Collaborate with other JJPI program administrators to improve agency-wide service delivery.
- Coordinate and facilitate all designated aspects of assigned program implementation and development.
- Oversee the performance and documentation of review of a portion of outpatient Survivor Services charts each quarter.
- Promote the organization in interactions with other agencies and professionals.
- Participate in marketing and strategic planning for the agency as required.
- Support and take an active role in Diversity, Equity, and Inclusion projects/movement at JJPI.
- Participate in at least one agency committee (i.e., sunshine, DEI, etc.).
Financial Responsibilities include:
- Understand the impact of the caseload requirements on the financial performance of the agency.
- Understand the payment source of each client.
- Complete all forms required for submission of bills for services in a timely manner.
- Work with other staff to develop new treatment programs to promote the financial performance of the agency.
Marketing Responsibilities include:
- Promote the agency in interactions with other agencies and professionals.
- Participate in market planning for the agency as required.
- Participate in and represent the JJPI Clinical team with recruitment initiatives and events.
Qualifications include:
- Master's or doctoral degree in psychology or social work required
- Must be licensed in Pennsylvania as a professional counselor (LPC), clinical social worker (LCSW), marriage and family therapist (LMFT), or psychologist
- Five or more years of relevant post-degree clinical experience
- At least one year of experience related to clinical operations
- Minimum of five years of experience providing trauma treatment
- Minimum of two years of experience providing supervision/training/consultation to clinicians/students
- Training in evidence-based practice a must
