Account Coordinator

A rapidly growing national HVAC service organization is seeking a highly organized and analytical Account Coordinator to support field operations, customer communication, and service workflow management. This role plays a key part in coordinating field resources, ensuring smooth project execution, and maintaining strong customer relationships in a fast‑paced, high‑growth environment.

Role Overview

The Account Coordinator is responsible for planning, scheduling, and directing operational activities across multiple field partners. This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities while supporting both internal teams and external customers.

Key Responsibilities

• Service Coordination — Manage and schedule field resources based on project requirements, skill sets, and availability.
• Work Order Management — Ensure all project details are accurately documented within the work order system.
• Contract Setup — Establish new service contracts and issue purchase orders when needed.
• Customer Communication — Maintain customer satisfaction through proactive communication, issue resolution, and support.
• Quote Preparation — Gather pricing information and prepare customer quotes.
• Cross‑Team Coordination — Collaborate with parts acquisition teams and account managers to ensure seamless project execution.
• Reporting — Generate and interpret assigned operational reports.
• Flexibility to work overtime or weekends as needed.

Minimum Requirements

• 3+ years of relevant operational or scheduling experience
• Strong verbal and written communication skills
• Ability to define and improve workflows and processes
• Proficiency in Microsoft Excel
• Experience working within a work order system
• Strong relationship‑building and conflict‑management abilities
• Ability to multitask and meet tight deadlines in a fast‑paced environment

Preferred Qualifications

• Background in the HVAC industry
• Experience with Salesforce or similar CRM/work order platforms
