JOB SUMMARY & ESSENTIAL FUNCTIONS
The Clinical Trainer - Medical Assistant is responsible for developing, coordinating, and delivering standardized onboarding, training, and competency validation for Medical Assistants across Valle del Sol. The position ensures Medical Assistants are prepared to perform assigned responsibilities safely, effectively, and consistently through hands-on instruction, competency assessment, coaching, and standardized workflow education.
The Clinical Trainer - Medical Assistant oversees competency development during the first 90 days of employment and provides ongoing education, refresher training, and remediation when workflow or performance gaps are identified. The position also supports implementation of new clinical workflows and may provide workflow training to providers and other medical staff to promote effective team-based care and appropriate utilization of Medical Assistants.
Medical Assistant Onboarding & Training
- Lead standardized onboarding and training for newly hired Medical Assistants across Valle del Sol locations.
- Provide hands-on instruction on Medical Assistant workflows, policies, procedures, documentation expectations, infection prevention practices, and organizational standards.
- Maintain structured onboarding plans, training schedules, competency checklists, job aids, workflow guides, and educational resources.
- Use observation, demonstration, return-demonstration, and other appropriate methods to support skill development and competency validation.
- Coordinate training activities with Operations, Medical Leadership, Quality, Human Resources, and site leadership to promote consistent expectations across locations.
Competency Validation & 90-Day Development
- Develop, maintain, and administer competency validation processes for Medical Assistant responsibilities in accordance with approved organizational workflows and standards.
- Validate required competencies before independent performance when applicable and conduct or coordinate competency assessments at designated intervals.
- Maintain structured competency expectations throughout the first 90 days of employment and partner with supervisors and medical leadership to evaluate new-hire progress.
- Document competency completion, identified gaps, additional training, remediation activities, and outcomes.
- Escalate significant competency, scope-of-practice, workflow, or patient-safety concerns to appropriate leadership.
Workflow Standardization & Implementation
- Train Medical Assistants on standardized organization-wide clinical workflows and role expectations.
- Identify workflow variation between clinics and collaborate with operational and medical leadership to improve consistency.
- Support implementation and training when new workflows, programs, technologies, policies, procedures, or clinical processes are introduced.
- Provide workflow training to providers and other medical staff, as appropriate, to support team-based care and effective utilization of Medical Assistants.
Ongoing Education, Coaching & Remediation
- Provide refresher training, targeted coaching, and retraining for existing Medical Assistants when education or competency gaps are identified.
- Develop individualized retraining plans when appropriate and conduct follow-up observations to evaluate sustained improvement.
- Partner with supervisors, Medical Leadership, and Human Resources when performance concerns indicate a need for additional education or competency validation.
Training Program Administration & Quality Improvement
- Maintain a standardized Medical Assistant onboarding and competency curriculum and review materials regularly for alignment with current organizational policies, approved workflows, and standards.
- Track training completion, competency results, retraining activities, and recurring areas of opportunity.
- Use training and competency trends to recommend improvements to onboarding, education, workflows, and training resources.
Professional Responsibilities
- Maintain accurate and timely training and competency documentation in accordance with organizational and regulatory requirements.
- Maintain confidentiality and security of patient, employee, and organizational information in accordance with HIPAA and Valle del Sol policies.
- Promote a safe environment by following applicable safety, infection prevention, quality, and regulatory requirements.
- Support Valle del Sol's mission, values, and commitment to culturally responsive care.
- Maintain professional knowledge related to Medical Assistant practice, adult learning, competency validation, and applicable healthcare standards.
- Perform other duties as assigned.
QUALIFICATIONS
Education
Required:
- High school diploma or GED.
- Completion of a recognized Medical Assistant education or training program.
Preferred:
- Associate degree in healthcare, education, training, or a related field.
Experience
Required:
- Minimum of 3 years of Medical Assistant or comparable ambulatory healthcare experience.
- Demonstrated experience training, coaching, mentoring, precepting, or developing Medical Assistants or other clinical support staff.
- Strong working knowledge of Medical Assistant workflows, responsibilities, scope-of-practice considerations, and competency expectations.
Preferred:
- Previous experience as a Clinical Trainer - Medical Assistant, Lead Medical Assistant, preceptor, or similar role.
- Experience in an FQHC, community health center, or integrated healthcare environment.
- Experience developing or administering competency-based training programs.
- Experience with Primary Care and Psychiatry workflows, electronic health record systems, and workflow optimization.
- Knowledge of applicable HRSA, OSHA, Joint Commission, and other healthcare regulatory or accreditation requirements.
Licensure/Certification
Required:
- Current Medical Assistant certification or credential from a recognized credentialing organization.
- BLS certification, or ability to obtain within 5 days of start date.
- Arizona Level I Fingerprint Clearance Card, or ability to obtain within 5 days of start date.
- Must maintain all certifications, credentials, and clearances required for the position.
Other Requirements
- Must be at least 18 years of age.
- Must be authorized to work in the United States.
- Must be able to pass pre- and continued employment screenings successfully.
- Ability to travel between Valle del Sol locations as needed to provide training, observation, and competency validation.
KNOWLEDGE, SKILLS, AND ABILITIES
- Strong knowledge of Medical Assistant workflows, responsibilities, competencies, and scope-of-practice considerations.
- Demonstrated ability to train, coach, mentor, and develop staff using hands-on and competency-based learning methods.
- Strong communication, presentation, coaching, and interpersonal skills.
- Ability to provide constructive feedback, identify competency gaps, and support effective remediation.
- Strong organizational skills and ability to coordinate training across multiple employees, programs, and locations.
- Ability to develop clear training materials, competency tools, job aids, and workflow resources.
- Ability to observe performance objectively and maintain accurate, timely competency documentation.
- Ability to collaborate effectively with Medical Leadership, Operations, Quality, Human Resources, supervisors, and multidisciplinary teams.
- Ability to recognize and appropriately escalate patient-safety, workflow, or scope-of-practice concerns.
- Ability to adapt training approaches to varying levels of experience and learning needs.
- Ability to provide culturally responsive and professional support to employees and patients.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS
Work Environment
This position may operate in clinical, office, or community settings including clinics, administrative offices, outreach locations, client homes, partner agencies, and community sites. Employees may interact with individuals experiencing behavioral health challenges, emotional distress, or complex social needs. Standard safety precautions and personal protective equipment (PPE) may be required as applicable.

Schedule & Travel
Work schedules may vary based on program needs and may include evening or weekend hours. Some positions may require local travel between Valle del Sol sites or community locations.

Employees may operate standard office, clinical, and communication equipment including computers, phones, printers, electronic health record systems, laptops, and mobile devices.
COMPLIANCE REQUIREMENTS
Employees must maintain compliance with all Valle del Sol policies and applicable regulatory requirements, which may include:
- Licensure, certification, credentialing, and/or privileging requirements applicable to the position.
- Required immunizations and occupational health clearances.
- Tuberculosis (TB) testing and Hepatitis B screening or declination, when applicable.
- Arizona Level I Fingerprint Clearance Card when required by law or program.
- Valid driver's license and acceptable driving record when operating a vehicle for company business.
- Completion and maintenance of required training, certifications, and continuing education.
Failure to obtain or maintain required credentials, clearances, or compliance requirements may impact eligibility for employment or continued assignment in the role.
