This position ensures accurate order management, clear communication, and the successful delivery of projects, in alignment with Empire and Co.’s commitment to Delivering Perfect.Key ResponsibilitiesSales & Account ManagementSupport the development of quotes and proposals, ensuring accuracy in pricing and product specificationsMaintain strong relationships with clients and serve as a point of contact throughout the sales and project lifecycleMaintain accurate client records, order details, and project updates within internal systemsOrganize floor plans, product counts, and supporting documentation for client presentations and internal reviewsPrepare reports, presentations, and materials for meetingsProvide responsive communication to clients and internal stakeholdersProject Management & ExecutionManage projects from order entry through installation and final closeoutServe as the primary point of contact for clients, ensuring clear communication and expectations throughout the project lifecycleCoordinate timelines, deliverables, and internal resources to keep projects on scheduleIdentify and proactively resolve issues that may impact scope, timeline, or budgetPartner with internal teams to ensure alignment across all phases of the projectOrder Management & Vendor CoordinationConfirm receipt of purchase orders with vendorsMonitor order acknowledgments and ensure timely and accurate confirmationsTrack and resolve order discrepancies or acknowledgment issuesCreate and manage vendor deposit requests as neededMaintain and distribute order status reportsCoordinate vendor communication to ensure order accuracy and on-time deliveryPre-Installation CoordinationCreate Operations requests outlining labor requirements (union/non-union, standard time, or overtime)Prepare installation packages for Operations teamsRequest and track Certificates of Insurance (COIs)Coordinate logistics and documentation required for delivery and installationInstallation & Post-Installation SupportOversee installation readiness and support execution as neededMaintain punch list documentation and coordinate resolution of outstanding itemsOrder punch list items as needed to complete project requirementsCreate Laser and RA tickets (when applicable) to initiate freight claimsSupport project closeout activities, including invoicingManage day-two orders and post-installation client requestsMaintain communication with clients to ensure satisfaction and timely issue resolutionAdministrative & Reporting ResponsibilitiesSet up new customers and vendors within internal systemsRequest and track manufacturer warranty informationCompile Product Mix Reports and additional internal reportingMaintain accurate and organized client and project documentationSkills & QualificationsMinimum of 3+ years of experience in the commercial furniture or dealership industry requiredHigh School Diploma required; Bachelor’s degree preferredSteelcase and Hedberg experience strongly preferredProficiency in Microsoft Office Suite (Outlook, Excel, Word)Strong written and verbal communication skillsExcellent organizational and time management abilitiesAbility to manage multiple tasks and priorities in a fast-paced environmentStrong attention to detail and problem-solving skillsAbility to work collaboratively within a team environment while supporting multiple stakeholdersDemonstrated ability to meet deadlines while maintaining a high level of accuracy and serviceCompensation for this role is expected to range from $75,000 to $90,000 annually, based on experience #J-18808-Ljbffr Empire & Co.
